We’re hiring an experienced part-time full-charge bookkeeper to own Civil CFO’s internal bookkeeping and finance operations end-to-end. This is not a data-entry or “helping with close” role. You will be the person responsible for keeping our books clean and current.
If you’ve personally owned month-end close in QuickBooks Online, enjoy reconciliations that tie to the penny, and like making financial chaos disappear so leadership can focus on running the firm, this role is for you.
WHAT YOU'LL BE DOING
You will own our internal finance cadence:
- Monitor and manage Ramp transactions 2–3x per week (review charges, attach receipts, add memos, and ensure correct coding per our rules)
- Proactively chase missing receipts from team members and maintain high receipt-completion rates
- Manage accounts payable end-to-end: process vendor bills (AP inbox, uploads to Ramp/QBO), maintain an up-to-date AP listing, and schedule vendor payments for leadership approval
- Prepare payroll in Gusto for review and approval: enter new hires, process reimbursements, verify accuracy before submission, and save payroll reports to Google Drive
- Perform monthly bank and credit card reconciliations in QuickBooks Online
- Run month-end close: post journal entries, record accruals and prepaids, and produce clean financial statements
- Pull and distribute standard QBO reports (P&L, Balance Sheet, expense by category) and save them in the correct monthly folders
- Update simple Google Sheets trackers and dashboards using data exported from QBO (13-week cash flow forecast, 12-month projections, etc.)
- Maintain clean, consistent file organization in Google Drive for financial documents (bills, contracts, payroll reports, bank statements)
- Follow and improve written checklists for weekly, bi-weekly, and month-end internal finance processes
ABOUT YOU
This role is for someone who has been the primary bookkeeper for a small business and can run the close without hand-holding.
Requirements
- 3+ years of hands-on bookkeeping experience where you were the primary owner of month-end close
- Direct experience performing bank and credit card reconciliations independently (not just “helping”)
- Strong working knowledge of QuickBooks Online: categorization, journal entries, reconciliations, and standard report generation
- Able to clearly explain your month-end close checklist from memory
- Comfortable working in tools like Ramp (or similar), Gusto (or similar), Google Workspace, and Slack
- High attention to detail and accuracy with financial data — you catch your own mistakes before anyone else does
- Strong organizational skills and comfort working from (and improving) repeatable checklists
- Ability to handle confidential financial information with discretion
- Willing and able to work 2–3 days per week in our Dallas office (near 635 and Hillcrest)
- Experience managing corporate card programs and receipt compliance (Ramp, Brex, Divvy, or similar)
- Prior experience supporting a small professional services firm (consulting, agency, finance, etc.)
- Familiarity with Excel/Google Sheets formulas (SUM, filters, simple lookups, pivot tables)
- Experience supporting payroll administration in Gusto or a similar platform
COMPENSATION AND LOGISTICS
- $26–$32/hour, depending on experience
- Approximately 20 hours per week
- In-office in Dallas, TX (near 635 and Hillcrest)
- Steady, part-time role with consistent weekly hours
