Part-Time Finance Manager - Knott Scholarship Funds

Position Summary:
The Finance Manager is responsible for the day-to-day financial administration, fiscal coordination, investment committee support, scholarship payment processing, budgeting, reporting, and records management across both Knott Scholarship Funds. This role supports both the Marion Burk Knott Scholarship Fund and the Marion I. and Henry J. Knott Scholarship Fund, each of which operates with separate boards, fiscal calendars, custodians, investment advisors, and accounting firms.
This is a primarily remote position that requires in-person attendance at meetings one to two times per month at various locations throughout the Archdiocese of Baltimore. The role also requires approximately three weekend days and two weekday evenings per year, with corresponding flexibility during the workweek.
Essential Responsibilities
- Forecast and maintain proper balances in the Foundation's bank accounts.
- Pay all expenses related to the Knott Scholarship Funds Office and file records accordingly.
- Process monthly payroll for a staff of five and ensure withholding and quarterly tax reports are filed in a timely manner. Submit 403(b) contributions and employer matching contributions. Ensure compliance with safe harbor requirements and file the EFAST Form 5500.
- Work collaboratively with independent accounting firms to compile quarterly financial statements, fiscal year-end financial statements, and required tax returns.
- Interface with all schools and universities regarding tuition invoicing.
- Prepare invoices and follow up to ensure a 100% response rate.
- Maintain ACH banking records.
- Track ongoing Fund distributions and prepare and maintain distribution forecasts.
- Manage relationships with investment advisory firms, custodian banks, and other business partners.
- Oversee or process Fund payments through the custodian for all alternative investments, tuition invoices, and vendor payments. Maintain adequate records of these transactions.
- Work with the Executive Director to prepare an annual office budget for review by the Finance Committee. Monitor budget performance quarterly.
- Assist with coordinating Investment Subcommittee meetings and prepare meeting minutes.
- Support special projects and organizational events as assigned, including school visits, scholar events, service day/picnic support, and attendance at selected community- or mission-related events.
- Perform other duties as assigned.
Qualifications
- Bachelor's degree in accounting, finance, business administration, or a related field.
- At least five years of progressively responsible experience in accounting, bookkeeping, finance, or nonprofit fiscal operations.
- Strong understanding of accounting principles, reconciliations, internal controls, budgeting, payroll coordination, financial reporting, and records retention.
- Experience with QuickBooks, Microsoft Office, electronic banking platforms, and payroll or retirement plan administration platforms.
- Ability to manage time-sensitive monthly, quarterly, annual, and fiscal year-end deadlines with accuracy and attention to detail.
- Strong written and verbal communication skills, with the ability to coordinate professionally with schools, universities, board members, investment advisors, accounting firms, banks, vendors, and internal staff.
- High level of discretion, judgment, confidentiality, professionalism, and personal integrity.
- Comfort working in a small office environment where responsibilities may include both financial management and hands-on administrative follow-through.
- Knowledge of the Archdiocese of Baltimore and its schools is a plus.
Pay and Benefits
The median annual pay range for this position is $60 to $64 per hour for 1,000 hours worked annually (approximately 20 hours per week). This position includes paid vacation and 403(b) retirement plan matching.
