Position Summary
At the YMCA, strong communities are supported by the people and systems working behind the scenes. As a Support Services Specialist, you will play an important role in keeping our Association's operations running smoothly by supporting membership and program collections, registration systems, and administrative processes. This position is ideal for someone who enjoys working with details, solving problems, and providing excellent customer service. You will work closely with the Finance team and other YMCA departments to ensure accurate financial processing, reliable system information, and consistent operational support across our locations.
What Success Looks Like
Successful Support Services Specialists:
- Maintain accurate membership, program, and financial records.
- Support timely and accurate processing of collections and account adjustments.
- Help resolve payment issues, account discrepancies, and registration concerns.
- Ensure registration systems and information remain accurate and up to date.
- Provide responsive, professional, and solutions-focused service to staff and members.
- Handle confidential information with professionalism and discretion.
- Build positive working relationships across departments and YMCA locations.
- Demonstrate the YMCA's mission, values, and commitment to serving all.
What You'll Be Doing
Membership & Program Collections
- Assist with collections activities related to memberships, programs, and other operational areas.
- Process and follow up on credit card and electronic funds transfer (EFT) returns.
- Review membership account activity to ensure annual renewals are processed appropriately.
- Assist with resolving or removing outstanding balances when applicable and in accordance with established procedures.
- Support the processing of payment disputes, including credit card chargebacks.
- Follow established financial controls and procedures to maintain accurate records and processing.
Program Registration & System Support
- Process program registration changes and updates.
- Maintain program waitlists and assist with camp-related registration adjustments.
- Support accurate data entry and system setup for membership and program registration cycles.
- Review system information to help identify and correct discrepancies.
- Assist with operations software administration and system updates.
- Generate reports and maintain accurate information to support operational needs.
Administrative & Finance Support
- Work closely with the Finance team to support accurate processing and operational consistency.
- Assist with administrative responsibilities that support Association-wide operations.
- Maintain organized and accurate records and documentation.
- Help identify process concerns and communicate issues to appropriate team members.
- Complete additional responsibilities within the scope of the position as needed.
Customer Service & Team Collaboration
- Respond to internal and external questions and concerns in a timely and professional manner.
- Model positive relationship-building through the YMCA's Listen First approach.
- Work collaboratively with staff across multiple departments and YMCA locations.
- Help resolve account, registration, and system-related concerns.
- Support YMCA fundraising initiatives and special events as assigned.

Qualifications
- High school diploma or equivalent required.
- Six months or more of related experience in customer service, administrative support, or financial processing preferred.
- Strong computer skills, including experience with Customer Relationship Management (CRM) systems.
- Working knowledge of Microsoft Office Suite and ability to learn YMCA-specific software.
- Strong interpersonal, communication, problem-solving, and customer service skills.
- Ability to exercise sound judgment and discretion when handling confidential information.
- Ability to read, understand, and follow instructions, procedures, and policies.
- Ability to communicate effectively with individuals from diverse backgrounds and experiences.

Work Environment & Physical Requirements
- Ability to use standard office equipment, including computers, phones, and smart devices, for extended periods, with or without reasonable accommodation.
- Ability to remain seated for extended periods while performing administrative responsibilities.

- Ability to maintain focus, accuracy, and attention to detail while working with financial and system information.
