Junior Payroll Administrator
Reporting to the Payroll Manager, the Junior Payroll Administrator supports the payroll function by assisting with day-to-day payroll processing and administration. Working under the guidance of the Payroll Manager and Finance team, the Junior Payroll Administrator helps ensure payroll information is accurate, up to date, and processed in a timely and confidential manner. This role provides an opportunity to build foundational payroll knowledge across multiple provinces.

Education & Skills
- Post-secondary education in accounting, finance, business administration, or a related field is an asset
- 0–2 years of experience in payroll, accounting, or administrative roles is preferred
- Exposure to payroll systems (e.g., Payworks) or HRIS platforms is an asset but not required
- Basic understanding of payroll concepts (e.g., earnings, deductions, statutory remittances) is an asset
- Familiarity with Microsoft Excel (data entry, basic formulas) and Microsoft Office Suite
- Willingness to learn or basic understanding of Canadian payroll legislation, including federal and provincial requirements
- Strong attention to detail and accuracy
- Excellent organizational and time management skills with the ability to meet deadlines
- Ability to handle confidential and sensitive information with discretion
- Strong written and verbal communication skills
- Eagerness to learn and develop payroll knowledge and skills
- Reliable, dependable, and able to work both independently and within a team environment
- Positive attitude and willingness to support team priorities
- Ability to follow established processes and ask questions when needed
Responsibilities
- Support payroll processing activities by collecting, reviewing, and organizing employee payroll information, including hours worked, salary changes, vacation, leave, and other pay-related data.
- Assist in processing regular payroll and off-cycle payments in accordance with payroll calendars, timelines, and internal deadlines.
- Maintain and update employee payroll records for new hires, terminations, transfers, pay changes, banking updates, benefit deductions, and other routine changes, under direction.
- Assist with payroll calculations including statutory deductions (e.g., CPP, EI), benefits, and other payroll-related adjustments, as required.
- Support compliance with payroll requirements across multiple provinces by assisting with data entry and basic validation of statutory holiday pay, taxable benefits, and deductions.
- Help prepare payroll reports and documentation, including payroll registers, remittance summaries, and reconciliations, for review by senior team members.
- Assist with payroll year-end activities, including preparation of T4s, Records of Employment, and other required documentation, under supervision.
- Support payroll audits and record-keeping requirements, ensuring documentation is complete, organized, and maintained in accordance with company policies.
- Collaborate with HR and Finance teams to ensure payroll data is accurate and up to date.
- Maintain confidentiality and accuracy in all payroll-related activities.
