    Executive Confidential Assistant to the Deputy Superintendent and Chief Financial Officer

    The Superintendent of Schools announces the following position within the Fall River Public School System: 

    Position: Executive Confidential Assistant to the Deputy Superintendent and Chief Financial   Officer       

    Job Description: To Support the offices of the DeputySuperintendent and Chief Financial Officer .

    Performance Responsibilities:

    1. To maintain confidentiality related to work and information handled
    2. To collect process and maintain confidential data related to staff, students, and all FRPS
    3. To maintain the calendar/schedule for Deputy/CFO (daily/yearly/Frontline)               
    4. To provide administrative assistance in all matters of official
    5. Assists in the consolidation and formatting of the relevant area of the annual budget; and in the generation of any periodic reports related to expenditure
    6. To manage, supervise and review the following duties related to bi-weekly payrollprocessing: time and attendance, leave usage, overtime administration, step increases, longevity increases, stipends, and the timely entry of all such information into the central payroll processing system.
    7. To work collaboratively with administrative and support staff in addressing responsibilities including school department planning, personnel policies and procedures, negotiations, management of grants, school department operations, evaluation, and other duties required by the Deputy/CFO of Schools.
    8. To help collect information for and prepare reports and presentations required by the Department of Education, State Department of Education, School Committee, other agencies, Leadership Team members, and the Superintendent of Schools
    9. To assist in the organization and preparation of legal information pertinent to the department
    10. To prepare confidential correspondence and documents
    11. To assist in scheduling and coordinating meetings and managing the Deputy/CFO Calendars
    12. To prepare confidential letters and memos
    13. Act as a resource to assist and support the superintendent and executive team with the leadership work of the district
    14. Employee will be on call for assistance to the Deputy/CFOon an "as needed" basis, including monitoring social media and crisis management response and operations as needed. These duties may be required to be performed after hours on an "on call" basis, outside of the typical work day. 
    15. Performs varied tasks and functions requiring a thorough knowledge of school department procedures and operations, and exercises judgment and initiative to interpret guidelines, apply and follow policies, as well as established procedures and practices.
    16. To assist with the Freedom of Information requests.

    Required Qualifications:

    1. A minimum of five years of successful secretarial or administrative experience within a  public or private organization's management office
    2. Demonstrated ability to collect, process, and maintain confidential data related to staff and/or students
    3. Demonstrated experience with management and supervision of duties and personnel related administrative support activities
    4. Demonstrated ability to apply sound policies and procedures to executive level office work, including maintaining confidentiality, coordinating multiple tasks, efficiently   scheduling work, and communicating effectively with others at all levels
    5. Experience with financial management software including payroll and accounts payable preferred
    6. Demonstrated ability to prepare official correspondence, organize information and generate periodic reports
    7. Demonstrated ability to take initiative and work collaboratively with others within acentral management office
    8. Strong writing skills and full proficiency with business management software, and spreadsheet development and maintenance is required.
    9. Demonstrated ability to effectively communicate with staff, parents, community members and/or        media as directed by the Deputy Superintendent 

    The Superintendent of Schools reserves the right to waive a position qualification or determine that there is an acceptable alternative to that qualification. If the Superintendent intends to waive a qualification, such intent will be shared with the Fall River School Committee. 

    Reports To: Deputy Superintendent/CFO

    Terms of Employment: Salary and benefits to be negotiated. This a 12 month position with a 40 hour work week. Balance of terms shall be established within an individual contract. This position includes responsibilities and duties that the employee will perform in support of the Deputy Superintendent and Chief Financial Officer that may extend the work day fall on nights, weekends, and vacations outside the normally assigned work day. The schedule of hours may be flexible to accommodate duties required to be performed after hours and the salary is reflective and in consideration and recognition of those duties and conditions.

    Salary: Salary Range  $60,000-$73,500

    School Committee approval
