The Executive Assistant serves as a trusted partner to the Chief Financial Officer (CFO), providing proactive executive, administrative, and operational support that enables effective leadership, strategic focus, and execution of key business priorities. This individual manages complex schedules, executive communications, meeting preparation, travel logistics, and key priorities to help the CFO and Finance leadership team operate efficiently and effectively.
The ideal candidate is highly organized, proactive, discreet, and experienced supporting senior executives in a fast-paced corporate environment. This role requires sound judgment, exceptional attention to detail, and the ability to manage competing priorities while creating professional experience for internal leaders, external partners, board members, and other key stakeholders.
Primary Duties:
Executive Administrative Support & Strategic Calendar Management
Manage and optimize the CFO's complex calendar, balancing strategic priorities, financial planning cycles, leadership meetings, stakeholder engagements, and key business commitments.
Anticipate needs, prepare briefing materials, and ensure the CFO is prepared for meetings, presentations, and critical business discussions.
Coordinate leadership meetings, financial reviews, planning sessions, and executive forums, including schedules, agendas, materials, action items, and follow-up.
Track action items, milestones, and commitments to support timely follow-through on key priorities and business initiatives.
Executive & External Stakeholder Coordination
Coordinate scheduling, logistics, and preparation for executive meetings, external partner engagements, leadership forums, and key business initiatives.
Serve as a professional point of contact for senior leaders, external partners, advisors, vendors, and other key stakeholders.
Coordinate confidential materials, presentations, and communications for executive and external audiences while maintaining discretion.
Assist with planning and logistics for meetings, business reviews, executive offsites, conferences, and strategic events as needed.
Travel & Executive Logistics Management
Coordinate domestic and international travel for the CFO and select Finance leaders, including itineraries, accommodations, transportation, and meeting schedules, while ensuring a seamless experience for key internal and external business engagements.
Proactively manage changes to ensure seamless executive travel experiences.
Digital Productivity & Executive Communication Support
Draft, edit, and coordinate executive correspondence, presentations, summaries, and follow-up communications.
Leverage Microsoft 365 tools and AI-enabled resources to improve efficiency, organization, and communication.
Support development, formatting, and quality review of executive-level presentations, board materials, financial reports, and business communications.
Maintain organized records, files, trackers, and confidential documents related to Finance leadership activities.
Administrative & Operational Excellence
Manage executive expenses, invoices, vendor relationships, purchase requests, and budget-related administrative processes.
Coordinate meeting logistics, office support, and administrative activities that contribute to an efficient executive environment.
Provide flexible support for high-priority projects, deadlines, and changing business needs.
Knowledge, Skills and Abilities Required:
5+ years of executive administrative support experience, preferably supporting C-suite executives, finance leaders, or senior corporate officers.
Experience coordinating interactions with external stakeholders, including board members, investors, banking partners, auditors, consultants, or executive-level clients.
Demonstrated ability to manage complex calendars, executive travel, confidential information, and competing priorities.
Exceptional organizational skills, attention to detail, and written and verbal communication skills.
High level of discretion, integrity, professionalism, and sound judgment.
Advanced proficiency with Microsoft 365, including Outlook, PowerPoint, Excel, Teams, and Word.
Experience preparing executive-ready presentations and business materials; experience with digital productivity and AI-enabled tools such as Microsoft Copilot preferred.
Ability to build credible relationships with senior leaders, board members, investors, and external partners.
Calm, resourceful, and solution-oriented in a fast-paced environment.
Working Conditions:
Normal office environment. Some travel may be required.
Wolverine Worldwide has a flexible, hybrid work schedule, with three days in office and two days remote.
