Function
The Executive Administrative Assistant performs office management duties, which require using good judgment, communication skills and knowledge of the District's policies and procedures. Office management duties include exercising the initiative for efficient operations. Also, serves as the contact person for information concerning the Office of Finance.
Reports To:
Chief Financial Officer
Responsibilities:
Maintain Office Efficiency:
- Develops system to track projects and recurring duties of office staff
- Monitors timeliness of projects and duties.
- Proofs correspondence for accuracy and disseminates as appropriate.
- Notifies staff of upcoming projects and duties as normally scheduled.
Maintain Office Records:
- Maintains an up-to-date filing system.
- Opens and distributes mail for the Office of Finance.
- Transfers and disposes records according to the records retention plan.
- Ensures protection and security of files and records.
- Performs duties relating to annual items, such as audit and budget.
Maintain Office Services:
- Ensure all office supply inventory is ordered and equipment is properly supplied and repaired as needed.
- Prepares payroll timesheet reports weekly
- Processes and organizes the employment of personnel for the Office of Finance.
Other:
- Performs other job-related duties as assigned

- Ability to effectively concentrate and perform various tasks simultaneously
