Are you a highly organized construction professional who excels at coordinating vendors, materials, schedules, and project details?
Woodfield Outdoors is seeking a proactive and detail-oriented Construction Procurement Coordinator to support purchasing, subcontractor coordination, vendor management, and project readiness.
This is not a traditional purchasing clerk position. The right candidate will understand construction operations, recognize inconsistencies in plans or quantities, follow through consistently, and help prevent procurement issues from delaying projects.

Key Responsibilities
- Coordinate subcontractors, vendors, materials, and equipment for active projects.
- Create, issue, organize, and track purchase orders.
- Confirm vendor pricing, availability, lead times, and delivery schedules.
- Request and compare pricing to help secure competitive costs.
- Review construction plans, quantities, purchase requests, and scopes of work.
- Identify discrepancies between plans, materials, quantities, and project requirements.
- Escalate missing information or potential procurement issues before they affect schedules.
- Ensure vendors and subcontractors are prepared before each project phase begins.
- Track orders and deliveries to prevent avoidable delays.
- Maintain accurate vendor, pricing, purchasing, and invoice records.
- Coordinate closely with project managers, field teams, accounting, and leadership.
- Follow up on outstanding orders, vendor commitments, and subcontractor requirements.
- Support billing documentation and revenue tracking.
- Manage winter cover and snow account operations.
- Coordinate winter service scheduling with field teams.
- Track completed winter and snow services to ensure accurate billing.
- Use company software and project management systems to maintain current information.
- Identify opportunities to improve purchasing, scheduling, cost control, and vendor accountability.
Qualifications
- 3+ years of experience in construction procurement, purchasing, project coordination, or a similar role.
- Experience working within construction, landscaping, pools, outdoor living, or residential building environments.
- Working knowledge of construction materials, plans, quantities, and subcontractor scopes.
- Ability to identify inconsistencies in pricing, plans, quantities, or project requirements.
- Strong attention to detail and organizational skills.
- Excellent follow-through and personal accountability.
- Ability to work with urgency and manage changing priorities.
- Strong communication skills with vendors, subcontractors, and internal teams.
- Comfortable managing multiple orders, deadlines, and active projects.
- Proficiency with spreadsheets, purchasing systems, and project management software.
- Ability to track pricing, costs, documentation, and billing information.
- Strong problem-solving skills and a proactive mindset.
- Ability to work independently while contributing to a team environment.
Preferred Qualifications
- Experience with Buildertrend or similar construction management software.
- Procurement experience within the pool, landscaping, or outdoor living industry.
- Familiarity with seasonal service operations, including winter covers or snow services.
- Existing relationships with construction vendors or subcontractors.
