We are currently seeking a Compliance & Payroll Assistant to join our team. This is a developmental role designed for someone who is highly organized, detail-oriented, dependable, and eager to build a long-term career in healthcare administration.
Working directly with our HR & Payroll Manager, you'll receive hands-on training and mentorship in Human Resources, Compliance, Recruiting, Payroll, and Home Care Operations. Job Description:
Administrative Support
• Maintain and organize employee and company records in both electronic and paper formats.
• Perform data entry, scanning, filing, photocopying, and document management.
• Answer incoming calls and provide professional customer service.
• Route calls and communications to appropriate team members.
• Assist with office organization and general administrative tasks.
• Human Resources & Compliance
• Assist with maintaining accurate employee records.
• Monitor caregiver compliance requirements, including:
• Home Care Aide (HCA) registration
• TB testing requirements
• Compliance and annual training completion
• Driver's license verification
• Auto insurance documentation
• Required certifications and renewals
• Other state and company compliance requirements
• Track expiration dates and send reminders for required documentation.
• Assist with employee file audits and caregiver reassessments.
• Support company compliance initiatives and best practices.
• Recruiting & Onboarding
• Communicate with applicants and newly hired caregivers.
• Assist with onboarding and new hire paperwork.
• Help employees navigate onboarding requirements and company systems.
• Maintain recruiting and applicant records.
• Prepare employee badges, onboarding packets, and other materials.
• Coordinate mailing of new hire documents when necessary.
• Support recruiting efforts and candidate follow-up.
• Payroll Support
• Assist with payroll administration and related documentation.
• Review caregiver pay information and mileage reimbursement records.
• Track alternate pay rates and payroll changes.
• Support payroll processing activities and reporting.
• Work closely with payroll and administrative teams to ensure accuracy.
• Caregiver Support
• Provide support to caregivers regarding company policies, systems, and procedures.
• Answer general employment-related questions.
• Assist caregivers with forms, documentation, and training requirements.
• Help ensure a positive employee experience throughout the employment lifecycle.
• Team Collaboration
• Support Human Resources, Recruiting, Payroll, Operations, and Leadership teams.
• Participate in special projects and process improvement initiatives.
• Maintain strict confidentiality regarding employee, client, payroll, financial, and medical information.
• Perform additional job-related duties as assigned.
Qualifications:
- High school diploma or equivalent (Associate's degree preferred).
- Previous experience in administrative or recruitment support roles is a plus.
- Excellent communication and interpersonal skills.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office applications.
- Knowledge of caregiving or healthcare industry is a bonus.
- Ability to maintain confidentiality and professionalism.
- Positive attitude and willingness to learn.
- Ability to quickly learn new systems and processes.
- Reliable transportation.
