YWCA Lancaster is looking for full-time Billing Specialist, who is an integral part of our team.
What your day looks like:
- Prepare weekly childcare invoices and process weekly tuition payments for multiple locations; review schedule changes and sign-in form to ensure accurate billing.
- Check for declined tuition payments and add any fees and check for expired credit cards and contact parent.
- Handle posting and returns of parent deposits
- Answer billing questions from parents/guardians
- Manage ELRC/Pelican system: updating co-pays; reporting delinquent payments: submitting monthly attendance numbers; adding holidays and other closures.
- Review and execute Pelican/ELRC/YWCA child enrollment/ information changes by mail/email (CC Directors and Finance Manager
- Communicate with Early Learning Resource Center (ELRC).
- Work with the Program Director in organizing and managing registration nights for childcare annual enrollments.
- Enter registration schedule and tuition based on timeline.
- Work with Resident Director to set up new resident accounts and update current resident billing information within ProCare.
- Prepare resident invoices for monthly rent.
- Prepare delinquent rent notices and process late payment fees. Communicate delinquencies with Resident Director.
- Coordinate with finance for approval of YWCA/EITC scholarships
- Assist the Finance department with the annual audit.
- Perform other duties as assigned
Who you are:
- High School Diploma; Additional coursework in accounting, business, or related field a plus
- 1-3 years of billing, accounts receivable, or accounting support experience in an office setting
- Knowledge of basic accounting principles and audit support.
- Familiarity with Procare platform and Early Learning Resource Centers (ELRC) a plus
- Clear, professional communication skills—comfortable answering parent billing questions by phone and email and documenting outcomes
- Discretion and professionalism handling confidential financial and family information
- Proficiency with Microsoft Excel (sorting/filtering, basic formulas, pivot tables a plus)
- Desire and ability to embody the YWCA’s mission of eliminating racism and empowering women.
- Participate in at least one mission related activity a year.
- Perform other duties as assigned
