This position requires the incumbent to work from the Midhurst office in a full-time capacity.

Payroll & HR Administrator
The following are the key responsibilities for the position:
Payroll Administration Duties
- Processes full-cycle payroll on a weekly basis for hourly and salaried employees across multiple entities
- Administers payroll in a multi-union environment, including union dues, benefits, and remittances across different collective agreements
- Ensures compliance with CRA requirements, EI, CPP, income tax, and Ontario employment legislation
- Prepares and reconciles:
- Payroll registers
- Source deductions and remittances
- RRSP contributions
- Year-end filings (T4s, T4As)
- Maintains accurate payroll records, including earnings, deductions, and employee changes
- Investigates and resolves payroll discrepancies promptly
- Supports payroll data integration with accounting/ERP systems
HR Administration Duties
- Maintains organized and compliant employee records (digital and physical)
- Coordinates onboarding and offboarding processes, including documentation and system setup
- Administers:
- Employee benefits and updates
- ROEs (Record of Employment)
- Vacation and leave tracking
- Acts as a key contact for employee payroll and HR-related inquiries
- Supports HR policies and ensures best practices are followed
Accounting Duties
- Assists with payroll-related journal entries and account reconciliations
- Allocates payroll costs accurately across:
- Jobs/projects
- Departments/divisions
- Supports month-end and year-end close processes related to payroll
- Collaborates with the finance team to ensure alignment between payroll and financial reporting
Compliance & Process Improvement Duties
- Maintains up-to-date knowledge of payroll legislation, union requirements, and employment standards
- Assists with internal and external audits related to payroll and HR
- Identifies opportunities to improve payroll processes, controls, and efficiencies
- Supports implementation and optimization of payroll and HR systems
Required Qualifications:
- A minimum of 5 years’ experience within a similar role, preferably in the construction, transportation, or similar industry
- Proven experience working in multiple union payroll environments
- Strong knowledge of Canadian payroll legislation (CRA, ESA, WSIB)
- Baseline accounting knowledge (journal entries, GL structure, reconciliations)
- Experience with payroll/accounting systems (e.g., Business Central, QuickBooks, Integrity, Jonas, or similar)
- PCP designation (or equivalent) considered an asset
