Administrative Assistant to Corp. Controller     SUMMARY: As part of the Corporate Executive Staff and reporting to the Corp, Controller, this position supports and assists with everyday matters or special projects.   Must be able to work well under pressure in a fast paced environment, exercise sound judgment/discretion, possess effective time management and organizational skills with a high level of attention to detail.   PRIMARY RESPONSIBILITIES
  1. Assist Corp. Controller with any projects, as requested.
  2. Answer telephones and transfer to appropriate staff member.
  3. Meet and greet visitors.
  4. Open and handle mail received for Corp Controller.
  5. Create and modify documents using Microsoft Office; specifically, Excel, Word, PowerPoint, Adobe Acrobat, etc.
  6. Perform general clerical duties to include but not limited to photocopying, faxing, mailing, emailing, and filing.
  7. Maintain hard copy and electronic filing systems.
  8. Coordinate meetings and conferences, taking minutes as required.
  9. Support staff in assigned project-based work.
  10. Work with LMS, DataMagine, and iTrak systems.
  11. Other duties as required.
  ADDITIONAL RESPONSIBILITIES
  1. Review contracts prior to obtaining approvals.
  2. Manage motor vehicle registrations
  3. Manage Corporate Books, including license renewals and minutes.
  4. Assist Corp. Controller with legal issues, including subpoena requirements.
  5. Manage assignment and removal of comp numbers.
  KNOWLEDGE AND SKILL REQUIREMENTS
  1. Bachelor’s degree (preferred) along with 3 to 5 years of experience in an executive administrative / personal assistant role.
  2. Able to anticipate the needs of a high profile Executive.
  3. Prioritize and manage multiple projects simultaneously with efficiency and accuracy.
  4. Knowledge of basic accounting techniques and principles, contract language and general clerical functions.
  5. Excellent Microsoft Office Suite skills (Word, Excel, PowerPoint, Adobe Acrobat, Outlook).
  6. Strong written, verbal, and interpersonal communication skills.
  7. Must retain a high level of flexibility and resourceful problem solving.
  8. Able to work both independently and as a team player.
  WORKING CONDITIONS Working conditions are normal for an office environment.
