Position Overview
The Accounts Payable Specialist is a dynamic member of the Tools Inc. team, responsible for executing our account payable activities and for providing comprehensive administrative. This hybrid role ensures smooth office operations, delivers outstanding internal and external customer service, and maintains accuracy and compliance in financial transactions. As the first point of contact for visitors and vendors, this position plays a key role in shaping positive impressions of Tools, Inc, ensuring that everyone receives outstanding customer service. This is an in-office role with hours of 8:00AM to 4:30PM.
Essential Job Functions
- Process and manage accounts payable transactions: Accurately enter invoices and expenses into the ERP system, collect and organize supporting documentation, match invoices to receipts and purchase records, and ensure proper coding (GL accounts/job numbers) and tax accuracy.
- Coordinate and resolve payment discrepancies: Collaborate with purchasing and receiving teams to reconcile invoice differences, validate pricing and quantities, and ensure all required documentation is complete before issuing payments.
- Support payment execution and process improvement: Prepare payments (check matching and mailing), maintain organized electronic records, manage assigned projects as a key point of contact, and proactively identify ways to improve efficiency, accuracy, and cost-effectiveness.
- Provide front-office and operational support: Serve as the first point of contact for visitors and calls while managing daily office operations, supplies, and mail.
Qualifications
- High School Diploma or equivalent required
- Minimum 2 years of experience in accounting or bookkeeping experience required, experience with accounts payable and reconciliation strongly preferred.
- Current valid and clean WI Driver's License
- Previous customer service, office administrator, or hospitality experience preferred
- Experience in manufacturing environment and ERP systems preferred
- Proficiency in Microsoft Office Suit and Adobe PDF
- Strong organizational and time management skills
- Attention to detail and ability to prioritize tasks
Physical Demands
This position primarily involves sedentary work, including extended periods of sitting, and using a computer.
