Accounts Payable Specialist

Job Description
- Review, verify, record, and report supplier and vendor invoices in the ERP system, ensuring compliance with purchase orders, goods/service receipt documents, and required approvals.
- Verify the accuracy of invoices, identify duplicate entries, missing documentation, and discrepancies, and coordinate with relevant departments to resolve any issues.
- Prepare and record return invoices and price difference invoices in the accounting system.
- Prepare payment schedules and bank payment instructions in accordance with company procedures, cash flow plans, and payment terms, and execute payments following the necessary approvals.
- Record bank transactions, credit card statements, and cash transactions in the accounting system, reconcile them with supporting documentation, and prepare related reports.
- Regularly review supplier accounts and outstanding balances, perform periodic account reconciliations, investigate discrepancies, and report findings.
- Monitor upcoming and overdue payments, prepare accounts payable aging reports, and support payment planning activities.
- Prepare, monitor, and record expense accruals related to future accounting periods.
- Calculate and record expense provisions in accordance with the accrual accounting principle and coordinate with relevant departments to ensure accurate reconciliations.
- Perform month-end closing procedures, including the review and reconciliation of expenses, accruals, provisions, and supplier accounts.
- Review VAT, withholding tax, tax exemptions, and invoice compliance in accordance with applicable tax regulations and company procedures.
- Ensure that all accounting transactions comply with company policies, internal control procedures, and authorization and approval processes.
- Support internal and external audit processes by preparing the necessary documentation, reconciliations, and financial reports.
- Prepare periodic financial reports related to Accounts Payable (AP) operations and present them to the relevant management team.
- Support the daily operations of the Finance and Accounting Department and maintain effective coordination with other departments.
Qualifications
- Bachelor’s degree in Business Administration, Economics, Finance, Accounting, or a related field.
- Previous experience in the Finance or Accounting Department of an international hotel chain or a corporate organization is preferred.
- Strong knowledge of the Turkish Uniform Chart of Accounts and general accounting principles.
- Knowledge and experience in Accounts Payable (AP), vendor account management, and payment processes.
- Experience in departmental expense tracking, expense accruals, and provision entries.
- Familiarity with purchase orders, invoice verification, and payment approval procedures.
- Experience in banking transactions, payment planning, and bank reconciliations.
- Knowledge of supplier account reconciliations and financial reporting processes.
- Proficiency in ERP systems and Microsoft Office applications, particularly Excel.
- Knowledge of tax regulations, VAT, withholding tax, and invoicing procedures.
- Good command of English is preferred.
- Strong analytical thinking, problem-solving, and organizational skills.
- Detail-oriented, accurate, well-organized, and results-driven approach to work.
- Excellent communication skills and the ability to coordinate effectively across departments.
- Strong teamwork skills, a sense of responsibility, and the ability to work efficiently in a fast-paced environment.
