PURPOSE OF POSITION

The Accounts Payable Coordinator is responsible for supporting Cemen Tech’s accounts payable process through the effective use of automated invoice processing, payment, and expense management platforms. This role is focused less on manual invoice entry and more on monitoring system workflows, resolving exceptions, coordinating approvals, maintaining vendor data accuracy, and ensuring invoices and payments are processed timely and accurately.

This position works heavily within technology platforms including Medius, Corpay, Concur, the company’s ERP system, and other accounting tools. The ideal candidate is detail-oriented, comfortable working in multiple systems, and able to troubleshoot process issues while communicating effectively with vendors, internal approvers, purchasing, receiving, and accounting team members.

ESSENTIAL DUTIES AND RESPONSIBILITIES

More specifically, the role will:

• Monitor daily invoice activity within Medius and other AP workflow systems.
• Review invoice exceptions, including purchase order mismatches, receiving discrepancies, coding issues, duplicate invoice warnings, vendor setup issues, and approval delays.
• Coordinate with purchasing, receiving, operations, and department managers to resolve invoice exceptions and keep invoices moving through the workflow.
• Ensure invoices are accurately coded, routed, approved, and posted in accordance with company policies and accounting procedures.
• Review and maintain vendor records, including W-9 information, payment terms, remittance details, tax information, and contact information.
• Support payment processing through Corpay, including payment file review, vendor payment issue resolution, and reconciliation of payment activity.
• Assist vendors with invoice status, payment timing, remittance questions, and account statement inquiries.
• Review vendor statements and identify missing invoices, unapplied credits, duplicate billings, or past-due items requiring follow-up.
• Help maintain clean AP aging by actively following up on blocked, rejected, disputed, or unapproved invoices.
• Assist employees with Concur expense reports, corporate card questions, receipt issues, coding questions, and workflow troubleshooting.
• Reconcile AP-related accounts and clearing accounts as assigned.
• Maintain organized electronic documentation to support internal inquiries, audits, vendor research, and month-end close.
• Identify recurring AP issues and recommend process improvements to reduce exceptions, improve automation, and strengthen controls.
• Support month-end close activities related to accounts payable, accrued expenses, prepaid expenses, credit card activity, and vendor activity.
• Assist with 1099 reporting, vendor compliance, and other annual AP reporting requirements.

• Participate in testing, training, and process documentation related to AP systems and workflow improvements.
• Perform other accounting and administrative tasks as assigned.

EDUCATION – EXPERIENCE – COMPUTER SKILLS 

• Bachelor’s degree in related field or equivalent experience. 
• 10-key, Word, Excel, Outlook, AP automation software like Medius , Corpay and Concur, and general ERP usage
• Copier, Scanner and Printers.
