Summary:
Supervises and coordinates the activities of Finance Department personnel responsible for calculating, posting, and verifying financial data to ensure accurate records for accounting and statistical purposes.
Essential Duties and Responsibilities:
- Assists the Controller and CFO in directing and overseeing the end-of-month, quarter, and year-end close processes.
- Assists the Controller and CFO in directing and overseeing General Ledger (G/L) account analysis and reconciliations.
- Assists the Controller and CFO in directing and overseeing bank account analysis and reconciliations.
- Assists the Controller and CFO in managing various accounting-related functions, including, but not limited to, Accounts Receivable, Accounts Payable, and Payroll.
- Assists the Controller and CFO in motivating accounting team members and enhancing the accuracy and efficiency of the Finance Department. Assists in organizing, delegating, supervising, and participating in tasks within the Finance Department.
- Assists the Controller and CFO in directing and overseeing the recording, tracking, and reporting of financial information.
- Assists the Controller and CFO in identifying, preventing, and mitigating accounting discrepancies, and helps establish appropriate control systems.
- Assists the Controller and CFO in reviewing and preparing financial statements for accuracy and legal compliance.
- Assists the Controller and CFO in organizing and updating financial records.
- Assists the Controller and CFO in preparing accurate, complete, and timely monthly, quarterly, and annual financial schedules.
- Assists the Controller and CFO in supervising and participating in preparing and auditing materials that require analysis of supporting documents, and ensures that all entries are properly entered into the ERP system.
- Assists the Controller and CFO in preparing for the annual financial external audit. Support audit activities as required to ensure auditors have the necessary information to complete their audits promptly.
- Assists the Controller and CFO in communicating and coordinating accounting policies, practices, and procedures with department and company managers, officials, vendors, reporting agencies, clients, customers, and the public.
- Assists the Controller and CFO in determining Finance Department work procedures, prepares work schedules, and expedites workflow.
- Assists the Controller and CFO in assigning duties and examines work for exactness, neatness, and conformance to policies and procedures.
- Assists the Controller and CFO in preparing, standardizing, and documenting procedures to improve the efficiency of subordinates. Maintains harmony among workers and resolves grievances.
- Assists the Controller and CFO in preparing reports, budgets, forecasts, and other financial documents.
- Assists the Controller and CFO in developing reports for management and regulatory bodies.
- Manages Finance Department team members as directed by the Controller and CFO. The Finance Department may be reorganized to increase efficiency, so management duties may be reassigned during this process.
- Issued written and oral instructions to Finance Department team members.
- Prepare journal entries to correct account balances.
- Research, identify, and resolve the root cause of problem issues. Collaborate with other departments within the organization to resolve issues and enhance procedures.
- Identifies and resolves problems and inconsistencies, determining appropriate corrective procedures.
- Compiles reports from individual subordinates, as management or government agencies require.
- Review the company’s accounting information to identify and resolve inaccuracies and/or imbalances.
- Utilize accounting ERP systems to facilitate processes and maintain accurate accounting records.
- Pursue training and professional development opportunities to build accounting and finance knowledge and skills continuously.
- Shares professional expertise with other team members in the Finance Department. Encourages other Finance Department team members to pursue training and professional development opportunities.
- Perform all other duties as assigned.
Qualifications
Education and/or Experience:
- Bachelor's degree (BS/BA) in Accounting, Finance, or related business field.
- One to two years of related experience and/or training; or equivalent combination of education and experience.
- A graduate degree in Accounting, Finance, or a related business field is highly desirable.
Certificates, Licenses, Registrations: A CPA license or equivalent is desirable but not required.
Mathematical Skills: Ability to work with mathematical concepts such as probability, statistical inference, plane and solid geometry fundamentals, and trigonometry fundamentals. Applying fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills: To perform this job successfully, an individual should have a strong working knowledge of Accounting software and ERP systems; Financial Reporting software; Business Intelligence software; Database software; Design software; Internet software; Payroll systems; Strong working knowledge of Microsoft Office (Excel, Word, Outlook, Teams and PowerPoint) and accounting software (e.g. Great Plains).
Supervisory Responsibilities: Assists the Controller and CFO in managing three subordinate supervisors: Payroll Supervisor, Accounts Payable Supervisor, and Accounts Receivable Supervisor. Helps facilitate the overall direction, coordination, and evaluation of these units. Manages and supervises Finance Department staff-level employees (staff accountants, clerks, interns, etc.). Carries out supervisory responsibilities by the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; and addressing complaints and resolving problems.
