Billing Coordinator

Siegfried Rivera, P.A. is seeking a Billing Coordinator to support the Accounting Department with billing, collections, reporting, and administrative accounting functions. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. Candidates should possess strong communication skills, proficiency in Microsoft Office, and the ability to maintain accurate financial records. This is an on-site position in our Coral Gables office.

Key Responsibilities:

• Run and save Cafeteria Plan Disbursement Reports.
• Review billed and deleted Work-in-Progress (WIP) reports.
• Process incoming checks and ensure proper distribution.
• Review and assist with outstanding client trust account balances.
• Prepare and process daily bank deposits.
• Maintain daily cash receipt logs.
• Process and communicate with clients regarding cash receipts, including duplicate payments, overpayments, and other related transactions.
• Create Bills for Collection Department Disbursements.
• Scan and upload accounting documents into SharePoint for electronic recordkeeping and document management
• Maintain billing and accounting records within Azure Cloud Storage and other designated systems.
• Assist with billing-related inquiries and provide support to attorneys and staff regarding account matters.
• Maintain organized electronic and physical filing systems.
• Assist with special projects and other accounting-related duties as assigned.
• Learn and assume additional responsibilities as knowledge and experience develop, including matter opening and other accounting and administrative functions.

Qualifications:

• Minimum of one (2) year of experience in billing, accounting, bookkeeping, accounts receivable, or a related administrative role preferred.
• Strong attention to detail and excellent organizational skills.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Strong computer skills with the ability to learn new software and accounting systems.
• Proficiency in Microsoft Office, including Outlook, Word, and Excel.
• Experience with SharePoint, electronic document management systems, or accounting software is a plus.
• Ability to communicate professionally and effectively with attorneys, staff, clients, and vendors.
• Must be able to maintain confidentiality and handle sensitive financial information with discretion.
• Associate degree in Accounting, Business Administration, or a related field preferred; relevant experience may be substituted for education.
• Bilingual candidate is a plus.
