The Accounts Payable Specialist is responsible for the accurate and timely processing of vendor invoices and payments. This entry‑level role is ideal for someone starting their accounting career who is detail‑oriented, organized, and eager to learn. The AP Specialist works closely with the Accountant and other AP team members and uses Microsoft Dynamics 365 Business Central to manually process invoices. Key Responsibilities
Accounts Payable Processing
- Receive, review, and manually enter vendor invoices into Business Central
- Match invoices to purchase orders and receiving documentation, where applicable
- Code invoices to the correct general ledger accounts
- Ensure invoices are properly approved before payment
- Prepare weekly vendor payment batches (checks and ACH)
- Maintain accurate vendor records, including W‑9s and payment information
- Assist with resolving vendor inquiries and discrepancies
- Reconcile vendor statements and flag issues for review
- Support year‑end 1099 preparation
- Maintain organized digital and physical invoice files
- Assist with internal audits and documentation requests
- Follow company accounting procedures and internal controls
- Provide support to the accounting team as needed
- High school diploma or GED (Associate’s or Bachelor’s degree in Accounting/Finance preferred)
- 0–2 years of accounting, AP, or related administrative experience
- Strong attention to detail and accuracy
- Basic understanding of accounting principles
- Comfort working with accounting software and Microsoft Excel
- Ability to manage deadlines and repetitive tasks reliably
- Experience with ERP systems, especially Microsoft Dynamics 365 Business Central
- Experience in manufacturing, distribution, or construction‑related industries
- Internship or coursework in accounting or finance
- Highly organized and detail‑oriented
- Willingness to learn and take direction
- Clear written and verbal communication skills
- Strong time‑management and follow‑through
