Description
Our client, a growing independent wealth management firm, is seeking a detail-oriented Tax Administrator to provide administrative support to its Tax Department. This role is responsible for coordinating tax return assembly, e-file processing, engagement letters, client communications, and tax workflow administration.
The ideal candidate is highly organized, enjoys working in a collaborative environment, and has a proven track record of delivering exceptional client service while managing multiple priorities with accuracy and efficiency.
Summary
The Tax Administrator plays a key role in supporting the firm's tax operations by coordinating administrative processes throughout the tax compliance cycle. This position works closely with tax professionals to ensure client deliverables are completed accurately, efficiently, and on schedule.
The ideal candidate is proactive, detail-oriented, and comfortable working independently while contributing to a collaborative, client-focused team.
Key Responsibilities
- Assemble tax return packages for client and government filings, including electronic filings.
- Create and maintain spreadsheets used for tax workflow and reporting.
- Manage, organize, and update client information using tax software and database applications.
- Track extended tax returns, monitor filing deadlines, and update return statuses.
- Prepare and track tax engagement letters.
- Process electronic tax filings and follow up on rejected submissions.
- Prepare and distribute year-end tax documents, including engagement letters and tax organizers.
- Coordinate meetings, conference calls, and project-related activities.
- Maintain electronic client files within the firm's document management system.
- Organize and maintain tax department forms, supplies, and reference materials.
- Assist with billing, invoicing, and other administrative support functions.
- Perform general administrative duties, including scanning, copying, mailing, and filing.
- Support new client onboarding within tax software platforms.
- Assist clients with information regarding electronic federal and state tax payment options.
- Help gather tax documentation needed for tax projections and tax return preparation.
- Perform additional administrative duties as assigned.
Qualifications
- Working knowledge of tax preparation, preferably with 2+ years of experience supporting a tax practice.
- Proficiency with Microsoft Office and Windows-based applications.
- Experience with tax software is preferred but not required.
- Excellent written, verbal, and interpersonal communication skills.
- Exceptional attention to detail with strong organizational and follow-through skills.
- Self-motivated with sound judgment, professionalism, and integrity.
- Strong client service and relationship-building skills.
- Ability to collaborate effectively with professionals across multiple departments.
- Ability to work independently while managing multiple priorities with minimal supervision.
Compensation
Base Salary: $58,000-$64,000 annually
