SUMMARY
The Payroll Supervisor works closely with the Corporate Payroll Manager to ensure the accurate, timely, and compliant delivery of payroll services across the organization. This role provides hands-on leadership to the payroll team and is responsible for overseeing full-cycle payroll processing, auditing, benefits reconciliation, and continuous improvement of payroll processes. The successful candidate will bring strong technical payroll expertise, proven leadership skills, and experience supporting both unionized and non-unionized employee groups in a fast-paced, deadline-driven environment.
RESPONSIBILITIES
Payroll Operations & Compliance
Coordinate and oversee the timely and accurate processing of payroll, ensuring the integrity of all payroll data prior to final submission. Review and validate all payroll records, including earnings, deductions, benefits, and garnishments, before processing. Ensure compliance with all applicable federal, provincial/state, and local payroll legislation across Canada and the United States. Maintain awareness of payroll legislation across Canada. US legislative awareness is an asset. Analyze payroll discrepancies and complex issues, providing appropriate and timely resolutions.
Team Leadership & Supervision
Lead, coach, and support payroll team members, managing day-to-day workload, priorities, and performance. Provide guidance and hands-on support during high-volume processing periods, audits, and year-end activities. Act as a temporary back-up for payroll team members in Canada and the US during vacation or absence periods, as required.
Systems, Reporting & Process Improvement
Implement, maintain, and review payroll data processing systems, ensuring accuracy, controls, and efficiency. Support payroll implementations and integrations related to system changes, acquisitions, or organizational growth. Prepare and review statistical reports, payroll summaries, and benefit-related statements for internal stakeholders. Perform reconciliation of group insurance and benefit programs. Assist with year-end payroll activities, including reconciliations, reporting, and government submissions. Support internal and external audits by providing documentation, explanations, and issue resolution as needed
Employee & Stakeholder Support
Serve as a key payroll contact for unionized and non-unionized employees, responding to inquiries with professionalism and discretion. Escalate potential service issues, risks, or compliance concerns to the Corporate Payroll Manager in a timely manner. Collaborate closely with HR, Finance, and other internal partners to ensure payroll accuracy and alignment.
REQUIRED EXPERIENCE & QUALIFICATIONS
Minimum 5 years of experience in a similar role, with hands-on responsibility for full payroll cycle processing. Experience with Ceridian Dayforce HRIS is a must. Proven experience processing Canadian payroll. US payroll processing experience is a definite asset. Excellent knowledge of payroll rules, legislation, and compliance standards. Demonstrated experience supporting system implementations or integrations is an asset. Strong leadership, coaching, and people management skills. Highly detail-oriented with strong analytical and problem-solving capabilities. Ability to manage multiple priorities and high-volume workloads in a time-sensitive environment. Strong organizational skills with the ability to adapt quickly to change. High level of discretion when handling confidential and sensitive payroll information. Proficiency with Microsoft Office, including Excel. Fully bilingual in English and French (spoken and written).
EDUCATION & CERTIFICATIONS
Completion of payroll-related courses. Member of the Canadian Payroll Association (CPA) preferred or in progress.
WORK ENVIRONMENT
Hybrid 3-Days in office required in Lachine, Quebec. Fast-paced environment with tight deadlines.
The position holder will be required to communicate regularly with clients, management and colleagues located outside Quebec as part of work and case follow-ups. An advance level of spoken and written English is required
