Overview:
Located in Salem, NH – Novia Corporation is looking for a Staff Accountant to support and increasingly lead the daily accounting needs of the organization. This role is responsible for full-service Accounts Payable, Accounts Receivable, and General Accounting, while also growing into financial reporting, analysis, and process optimization.
The Staff Accountant will take increasing ownership of all accounting functions within the Finance Team, help drive continuous improvement and automation of key processes, and support the Finance Director in delivering timely, accurate, and insightful financial information. The Staff Accountant should strive to provide exemplary customer service to internal and external customers while maintaining the highest standards of accuracy, timeliness, and compliance. Essential duties include, but not limited to: Accounts Payable
Code and enter A/P invoices into ERP. Obtain appropriate approvals based on Delegation of Authority for non–purchase-order invoices. Process weekly vendor payment runs – electronic payments and checks. Maintain vendor records for audit compliance; document and track all changes. Handle vendor communications to resolve billing disputes. Review and process employee expense reports. Assist Finance Director in keeping SOPs up to date and ensuring employees are aware of updates. Assist in annual 1099 filing in accordance with tax deadlines. Perform weekly GRNI review. Perform monthly vendor statement reconciliations.
Accounts Receivable
Reconcile and post daily lockbox. Prepare and post mobile deposits. Maintain customer files for audit compliance. Perform daily collections efforts to keep customers in compliance with their terms. Provide weekly customer aging to Finance Director with notes for review. Report and file monthly sales tax. Review open orders daily and invoice completed shipments. Resolve clients’ billing issues as they arise.
General Accounting & Month-End Close
Monitor and reconcile daily bank activity. Post all outgoing cash (direct debit payments). Post all incoming cash (lockbox, ACHs, wires, etc.). Support Finance Director during month-end close, including preparation of supporting schedules. Complete monthly cash reconciliations. Assist in preparation of the cash forecast. Ensure A/P is closed by close day 1. Perform fixed asset reconciliation and depreciation posting. Prepare and post recurring and ad hoc journal entries as needed. Support Finance Director with internal and external audits. Perform monthly analysis on KPI’s, debtors, creditors, open POs, open sales orders, etc.
Financial Reporting & Analysis
Assist in preparation of monthly financial reporting packages (P&L, balance sheet, cash flow, and KPI reporting). Perform financial analysis on trends and deviations to budget/forecast, including commentary on key drivers. Prepare and maintain schedules to support forecasting, budgeting, and variance analysis. Partner with the Finance Director to develop and refine dashboards or standard reports for management. Provide ad hoc analysis to support business decisions (pricing, customer profitability, spending trends, etc.).
Process Improvement, Automation & Optimization
Work closely with the Finance Director and Business Systems/IT resources to identify opportunities to streamline and automate accounting and finance processes (e.g., ERP enhancements, workflow tools, templates). Document current and future-state processes and support the implementation of improved workflows. Help design and test new reports, automations, and controls within the ERP and related systems. Champion standardization and simplification of recurring tasks across A/P, A/R, and general accounting.
Ownership of Accounting Functions & Cross-Functional Support
Act as a primary point of contact for day-to-day accounting questions from internal stakeholders. Proactively monitor key accounting areas (A/P, A/R, cash, fixed assets, accruals) and escalate issues or risks. Maintain and update accounting SOPs and process documentation as responsibilities evolve. Cross-train necessary employees to ensure adequate coverage of critical tasks as needed. Support other Finance projects and initiatives as the business grows. All other duties as required.
Ideal Candidate:
Bachelor’s degree in Accounting, Finance, or equivalent required. 1–3+ years of progressive accounting experience; manufacturing experience a plus. Proficient with ERP systems and comfortable adapting to new software and tools. Strong Excel skills (e.g., pivot tables, lookups, basic formulas; Power Query/BI a plus). Interest and aptitude in financial analysis, reporting, and process automation. Excellent interpersonal skills; teamwork and collaboration are cornerstones of our high-energy corporate culture. Organized, able to prioritize, and able to balance day-to-day execution with continuous improvement. Strong commercial acumen and business knowledge, with curiosity to understand operations and drivers of financial performance. Enthusiasm for continuous improvement, problem solving, and taking on increased ownership over time. Understands that this role will continue to expand as the business grows and the team develops.

- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 25 pounds at times
- Occasional travel may be required as needed
