    SENIOR ACCOUNTS PAYABLE SPECIALIST

    2026 - 2027 SCHOOL YEAR

    Title:  Senior Accounts Payable Specialist

    Job Description:  This critical role is directly responsible for managing, verifying, and processing all district bills, vendor invoices, and financial claims on a monthly basis. Operating under the direct supervision of the School Business Administrator, the successful candidate ensures the district's financial obligations are met accurately, transparently, and in strict compliance with New Jersey public school accounting regulations.

    Key Responsibilities:

    • Invoice & Claim Processing
    • Review, verify, and process all district invoices, purchase orders, and monthly voucher packages for accuracy and proper authorization.
    • Prepare Monthly Board Reports and compile the comprehensive monthly bills list for review and approval by the Board of Education.
    • Vendor Management as the primary point of contact for vendor inquiries, reconcile monthly statements, and resolve billing discrepancies in a professional manner.
    • Compliance & Audit Support to ensure all disbursements comply with New Jersey public purchasing laws, district policies, and standard GAAP practices.
    • Maintain organized physical and digital financial records for annual audit preparation.
    • Work in collaboration with the School Business Administrator and department heads to track purchase orders and monitor budgetary accounts.

    Qualifications & Requirements:

    Education:  High school diploma or equivalent required.  An Associate's degree in Accounting, Finance, or Business Administration is preferred; however, equivalent professional experience may be substituted for the education requirement on a year-for-year basis.

    Experience

    Minimum of 7-10 years of experience in accounts payable or governmental bookkeeping. Prior experience in a New Jersey public school distract or municipal setting is strongly preferred.

    Technical Skills

    Proficiency in financial accounting software (e.g. CSI, Genesis, Systems 300, CDK) and Microsoft Office suite (especially Excel).

    Core Competencies

    Meticulous, organized, reliable, exceptional attention to detail, strong mathematical skills, and the ability to meet strict monthly deadlines.  

    Background Check

    Must clear a criminal history background check (NJ Department of Education fingerprinting) and provide proof of U.S. citizenship of legal resident alien status.

    Working Conditions: Full-Time 12-Month Position; Monday through Friday 8:00 am - 4:00 pm; District Central Office located at 191 Second Street, Hackensack, NJ
