Job Description:
Position Summary
The Senior Accounting Specialist owns the end-to-end payment execution process and AP compliance obligations. This role operates at the intersection of cash disbursement, banking, and regulatory compliance, exercising independent judgment on payment scheduling, bank file validation, and 1099 determination. The incumbent validates and corrects the offshore team's payment preparation work before files are transmitted to the bank.
Key Responsibilities
Payment Operations
- Own the weekly payment run cycle from proposal review through bank file transmission; validate all components before release
- Review and validate offshore-prepared payment proposals in D365; correct vendor selection, amount, and method errors before approval
- Execute ACH, check, and wire payments; validate bank file accuracy and reconcile transmission confirmations
- Manage positive pay file generation and exceptions; communicate with Treasury on same-day or off-cycle payment requests
1099 & Tax Compliance
- Maintain 1099 reportable vendor classifications in D365; review and correct offshore-submitted vendor setups
- Execute year-end 1099 process: extract reportable transactions, validate thresholds, prepare and file forms
- Resolve IRS B-Notices and TIN mismatch issues; coordinate with vendors on W-9 corrections
- Monitor backup withholding requirements; apply and remit as required
AP Reporting & Analytics
- Produce the weekly AP aging report and payment forecast for the AP Director and CFO distribution
- Analyze DPO trends; identify drivers of aging anomalies and recommend corrective actions
- Prepare monthly AP metrics package: invoice volume, cycle time, exception rate, offshore defect rate
- Support cash forecasting by providing AP disbursement projections to Treasury
Banking & Fraud Prevention
- Monitor AP disbursement accounts for unauthorized transactions; escalate anomalies to Treasury and Accounting
- Validate vendor banking changes against source documentation; enforce dual-approval controls
- Manage vendor ACH enrollment: validate forms, set up in D365, confirm first-payment accuracy
Offshore Oversight
- Review offshore-prepared payment batches for completeness, accuracy, and policy compliance
- Identify and correct coding, method, or vendor assignment errors before the payment proposal is finalized
- Document and communicate offshore defect patterns to the AP Director with supporting data
Qualifications
- 5+ years AP experience with direct responsibility for payment execution and banking operations
- Experience with ACH, check, and wire payment processes in an ERP environment (D365 preferred)
- Working knowledge of 1099 reporting requirements (NEC, MISC) and IRS compliance processes
- Strong analytical skills; able to build and maintain AP reporting in Excel with minimal guidance
- High integrity and discretion in handling sensitive banking and payment information
Decision Authority — Acts Independently
This role is authorized to take the following actions without prior escalation:
- Approve and transmit weekly payment run bank files within authorized limits
- Reject offshore payment proposals with documented defect findings
- Execute 1099 corrections and coordinate vendor W-9 updates independently
- Flag and suspend vendor banking changes pending dual-approval completion
- Approve off-cycle payment requests within delegated thresholds
