Job Summary

The Senior Accountant, reporting to the Director, Finance, is a key member of the finance team responsible for ensuring the accuracy, integrity and completeness of financial data across all areas of the organization. Working closely with the Director, Finance, and department managers, this role leads month-end and year-end close processes, oversees financial reporting, and identifies opportunities to strengthen financial processes and internal controls.

Job Duties

Reporting and Analysis:

Prepare monthly financial statements and management reports for internal key partners, including senior management and the Finance and Audit Committee. Perform month-end close activities and year-end adjustments, ensuring accurate and complete financial reporting. Conduct variance analysis and communicate findings to department managers, identifying key drivers and recommending corrective action.

Payroll:

Process bi-weekly payroll for all staff, including union, hourly, and salaried employees, ensuring accuracy and compliance with Ontario regulations and organizational policies.

Financial Operations and Controls:

Monitor daily bank activity and cash balances, identifying and escalating unusual transactions Perform weekly bank reconciliations, ensuring all transactions are accurately recorded, and investigating and resolving discrepancies. Prepare and file quarterly HST returns, ensuring compliance with Canada Revenue Agency(CRA) requirements. Perform periodic cash handling and reconcile cash deposits as required. Identify and communicate opportunities for process improvements across financial operations where applicable.

Fundraising and Department Reporting:

Reconcile fundraising data from third-party systems and ensure accurate recording of related deposits. Collaborate with department managers to validate financial data from various reporting systems. Review month-end reconciliations across key accounts, including Accounts Payable, Accounts Receivable, Prepaids, Fixed Assets, Gifts in Kind, and Overall Revenue.

Accounts Payable and Payment Processing:

Process payment runs including EFTs, bill payments, and cheques, ensuring accuracy, completeness, and proper authorization, and maintain vendor and payee records as required. Collaborate with the Accountant to resolve discrepancies, coding issues, and escalated accounts payable matters. Respond to vendor inquiries and finance-related questions from staff in a timely and professional manner.

Month/Year End:

Prepare month-end reporting and reconciliation packages and year-end audit working papers, ensuring transactions are accurately coded and financial records are complete. Support the annual budgeting process by reviewing and validating budget figures and collaborating with department managers to help them interpret their budgets and actual results.

Other Duties:

Support the Director, Finance with ad hoc projects and analysis as required. Foster, promote, support, and drive inclusion and influence others to promote, embrace and progress Diversity, Equity & Inclusion at Toronto Humane Society. Be aware of and work within the regulations of all organization policies and protocols. Work in compliance with the provisions of the OHSA (Occupational Health and Safety Act) and its regulations including understanding and adhering to the requirements of the Health and Safety Manual and any other rules and regulations established by the organization. Other duties as required in the day-to-day operation of the organization.

Job Requirements

Bachelor's degree in Accounting, Finance, or related field, CPA designation or working towards the designation an asset, 5 or more years of progressive experience in accounting, preferably in the non-profit sector, Or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job. Proficiency in GAAP principles and financial reporting standards. Experience with payroll systems (e.g., Dayforce or similar) is an asset. Strong analytical skills with the ability to interpret complex financial data. Excellent attention to detail and accuracy in financial record-keeping. Advanced proficiency in Microsoft Excel and experience with accounting systems(e.g., QuickBooks Online). Strong communication and interpersonal skills, with demonstrated ability to work directly with department managers Proven ability to prioritize tasks, meet deadlines, and work effectively in a fast-paced environment. Commitment to maintaining confidentiality and integrity in handling financial information.

Work Conditions

Standard office hours, with occasional evenings and weekends. Operation of computer, phone, and peripherals. Interaction with employees, management, and directors. Opportunity to work partially remotely. Working in a busy office environment with frequent interruptions.
