    Position Summary

    The Secretary to the Chief Financial Officer (CFO) provides comprehensive administrative and clerical support to the CFO and Business Office staff. This position requires a highly organized, detail-oriented professional who thrives in a fast-paced environment and can manage multiple priorities while maintaining strict confidentiality and professionalism. The ideal candidate is tech-savvy, adaptable, and demonstrates strong communication, time management, and problem-solving skills.

    Key Responsibilities

    Administrative and Office Support

    • Provide administrative support to the CFO and Business Office staff.
    • Manage calendars, appointments, itineraries, and meeting logistics.
    • Receive, process, and distribute incoming correspondence, materials, and deliveries; must be able to lift and move items weighing 30�50 pounds and work in a warehouse setting.
    • Maintain electronic filing and document storage systems and ensure records are accurate, organized, and easily accessible.
    • Troubleshoot administrative issues, adapt to changing priorities, and maintain an organized and professional office environment.
    • Utilize office technology and software applications effectively and learn new systems as needed.

    Financial and Recordkeeping Support

    • Assist the CFO with bookkeeping functions, including accounts payable, accounts receivable, and related recordkeeping.
    • Maintain accurate financial and administrative files and supporting documentation.
    • Submit daily deposits for the Education Service Center (ESC), Communities In Schools, and Workforce through Merchant Capture.
    • Handle confidential financial, personnel, and organizational information with discretion.

    Communication and Collaboration

    • Communicate clearly and professionally, both verbally and in writing.
    • Work effectively both independently and as part of a collaborative team.
    • Manage multiple tasks simultaneously while meeting deadlines and maintaining a high level of accuracy.

    Qualifications

    • High school diploma or equivalent required; additional administrative or bookkeeping experience preferred.
    • Exceptional attention to detail and organizational skills.
    • Strong time management, multitasking, and problem-solving abilities.
    • Excellent verbal and written communication skills.
    • Proficiency with office technology and software applications, with a willingness to learn new systems.
    • Ability to maintain confidentiality and exercise sound judgment.
