Qualifications

Job Goal
Provide assistance and effective communication with school staff and public stakeholders about financial matters, and maintain accurate financial and school records that can be relied upon for effective decision making by school administrators and staff.
Terms of Employment: 10 month
PERFORMANCE RESPONSIBILITIES:
- Assure that customer service is at the forefront of all office staff interactions and that the office is welcoming and supportive of all stakeholders.
- Prepare and type reports, letters, inventories, memoranda, and related documents from rough drafts, copies or notes.
- Operate a telecommunications system; receive incoming calls; record information as required; transfer calls to appropriate department/staff; respond to inquiries and/or takes messages and distributes to appropriate office/staff.
- Provide training to teachers and staff related to local school accounting policies and procedures.
- Maintain a complete and systematic set of records of all financial transactions of school funds.
- Monitor account balances and related financial activity for the purpose of ensuring that allocations are accurate, expenses are within budget limits and/or fiscal practices are followed.
- Record details of school financial transactions.
- Traces errors and records adjustments to correct charges or credits posted to accounts.
- Maintain financial records for all funds.
- Maintains and submits reports, records, and correspondence in a timely and accurate manner.
- Perform accounts payable duties that include, but are not limited to, the issuance of purchase orders, accurate coding and posting of invoices, timely payments to vendors.
- Receive, count, record, and deposit all monies collected from clubs, classes, departments, and athletic activities.
- Records funds submitted to school office daily to the appropriate revenue codes.
- Maintain school personnel attendance and inputs attendance in JCampus.
- Prepares monthly attendance reports and submits to district office.
- Prepare and submit bank deposits daily.
- Demonstrate knowledge of local school accounting policies and procedures.
- Maintain confidentiality regarding school/workplace matters.
- Submit monthly financial reports on time.
- Route all check requests and purchase orders with attached supporting documentation to the principal for approval and/or other appropriate school or central office personnel.
- Demonstrate initiative in the performance of assigned responsibilities; uses time wisely; works efficiently.
- Model and maintains high ethical standards.
- Keep supervisor informed of potential problems, unusual events or work irregularities.
- Assist in the operation and maintenance of all office machines, copy machines and equipment to promote efficiency.
- Inventories and orders office supplies and materials as needed for daily operations.
- Respond to inquiries, requests, constructive feedback, concerns, and/or complaints in a timely and positive manner.
- Adhere to school system rules, administrative procedures, local Board policies, and state, federal regulations.
- Work well with all administrators, teachers, and other members of the team using good interpersonal skills, using tact, patience and courtesy.

- Keep abreast professionally by attending local, regional, state, or national meetings and/or staff development that address area(s) of responsibility as directed by the principal.
- Collaborate with district leadership, administrators and teachers to analyze data, establish goals and develop plans with action steps and a means to monitor effectiveness.
- Analyze data to make data-driven decisions
- Complete and submit all forms, reports, documentation, and training by required dates and in accordance with district policies and procedures.
- Remain open to suggestions and innovative ideas; receive and apply feedback.

- Communicate appropriately face-to-face, through phone calls and electronic communication and work effectively with all populations.

- Attend school board and/or committee meetings as needed or directed.
- Support crisis management plans during situations that warrant as needed or directed.

- Follow the specific requirements established by the School Board (LEA), State Department of Education (SDE), the State Board of Elementary and Secondary Education (SBESE), and/or Federal regulations and guidelines established by each.
- Perform any duty, not specifically assigned, as deemed necessary by the assigning authority in order to maintain continuity where needed.
- Direct, coordinate, and/or supervise all students for whom you are responsible.
- Visit, evaluate and support district facilities after inclement weather as needed or directed.
- Act as technical advisor and resource person to assist others in area(s) of responsibility.

- Perform such other tasks and assumes responsibilities as the Superintendent may assign.
- Support the policies and procedures of the Allen Parish School Board.
