RECEPTION & ACCOUNTING SUPPORT - ROLE OVERVIEW
Kwik Lok’s Reception & Accounting Support role serves as the first point of contact for Kwik Lok Yakima’s plant visitors and incoming business calls. This role requires organized, proactive thinking to manage front office operations and provide support to Accounting and other our Corporate administrative teams. This position reports directly to the Accounting Manager.
POSITION RESPONSIBILITIES AND RESULTS
RECEPTION
- Oversee incoming visitors and phone calls, answering promptly and professionally
- Route visitors or callers to appropriate employees based on availability and request
- Utilize telecommunication software to perform various call handling functions
- Ensure front desk area is kept free from clutter and presents professionally
- Maintain accurate records, including visitor logs, contact lists, and office schedules
- Ensure all visitors and vendors have appropriate badges and wear them in visible locations while on campus
- Oversee badge inventory: vendors, co-owners, Board, and Sales teams
- Monitor incoming faxes and own emails
- Process incoming and outgoing mail, sort incoming mail into employee/department mailboxes
- Assist with package delivery re-routing
OFFICE MAINTENANCE
- Maintain office supply and furniture inventory, enter Purchase Orders into ERP system
- Ensure office supplies are readily available in a clean, organized manner
- Monitor the general effectiveness of administrative equipment; escalate any required troubleshooting or service to vendor
- Maintain administrative break room cleanliness and inventory levels
- Manage conference room booking calendar approvals
- Oversee petty cash drawer and transactions
- Liaise with vendors and service providers to coordinate facility maintenance or communicate office needs (for example: medicine cabinets, first aid stations, paper shredding, housekeeping)
ACCOUNTING SUPPORT
- Sales order review for accuracy and approval
- AR invoicing
- Payment posting
- Collections
- Bill posting
- Scanning and recording keeping
- Journal entries
- Accounting reconciliations
GENERAL
- Scanning, catalog maintenance, and other administrative projects or duties as assigned
- Support Kwik Lok production activities through the manufacture of Kwik Lok closures with a focus on continuing improvement of quality, food safety, and manufacturing processes.
REQUIRED QUALIFICATIONS
- Education: High school diploma or equivalent required; associate’s degree with a focus in accounting or finance preferred
- Experience: At least 2 years of experience in a reception area, administrative, and/or accounting role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with ERP systems.
- Must be able to pass pre-employment drug and background screenings
- Must be legally authorized to work in the United States without sponsorship

ALL THE DETAILS…
- Pay scale: $20.75 to $24.94 per hour
- Insurance Benefits: Medical, Dental, Vision, Prescription, Life and Disability Insurance plans (60 day waiting period)
- Retirement Benefits: 401K Plan with company match (90 day waiting period - restrictions apply)
- Paid Time Off: (90 day waiting period, prorated for first year)
- Vacation: 120 hours a year, with increases based on years of service
- Holidays: 70 hours a year (8.5 days): 1 Floating Holiday, New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and the Friday following, half day on Christmas Eve, and Christmas Day
- Sick Leave: 40 hours a year, accrued at 1 hour per 40 hours worked for hourly employees, salary employees prorated for first year
- Other Compensation: Employees may be eligible for annual performance bonuses
- Schedule: Monday through Friday, 8:00am to 5:00pm
- Location: Yakima, Washington
- Work environment: Regularly sitting and/or standing at a computer. Occasionally bends, squats, reaches, kneels, and may lift up to 40 lbs. on occasion. Constantly seeing, hearing, talking. Noise level in office environment 10dB, 85-95 dB in production environment.
