NWS is seeking a highly organized, analytical, and detail-oriented Procurement Support Specialist to join our growing Operations team.
The Procurement Support Specialist provides operational and administrative support to the Procurement team to ensure the timely and efficient execution of procurement activities. This role serves as a key liaison between internal stakeholders, suppliers, and Procurement Specialists by assisting with purchase order processing, supplier communications, data management, reporting, and process adherence. The Procurement Support Specialist helps maintain purchasing accuracy, supports procurement initiatives, and contributes to continuous improvement efforts across the procurement function.
Key Responsibilities
Procurement Operations Support
- Assist with the creation, processing, and maintenance of purchase orders in procurement and ERP systems.
- Monitor purchase order status and coordinate follow-up activities with suppliers and internal stakeholders.
- Support procurement team members by tracking order acknowledgments, confirmations, deliveries, and invoice discrepancies.
- Maintain procurement records and documentation to ensure accuracy and compliance.
- Assist in resolving routine purchasing and supplier-related issues.
Supplier Coordination
- Serve as a point of contact for supplier inquiries regarding purchase orders, delivery schedules, and documentation requirements.
- Coordinate with suppliers to obtain pricing, quotations, lead times, and product information.
- Support supplier onboarding and vendor record maintenance activities.
- Escalate supplier performance concerns or recurring issues to procurement leadership when appropriate.
Administrative and Data Management
- Maintain procurement databases, files, contracts, and supplier information.
- Prepare reports related to purchasing activity, open orders, supplier performance, and procurement metrics.
- Assist with data entry, system updates, and record audits to ensure data integrity.
- Support inventory and purchasing reconciliations as required.
Compliance and Process Support
- Ensure procurement processes, policies, and internal controls are followed consistently.
- Assist with procurement audits and documentation requests.
- Support compliance with company purchasing guidelines and approval requirements.
- Identify process improvement opportunities and recommend solutions to increase efficiency and accuracy.
Cross-Functional Collaboration
- Partner with internal departments to facilitate purchasing requests and procurement support.
- Coordinate communication between stakeholders, suppliers, and procurement team members.
- Assist with implementing procurement initiatives, system enhancements, and process changes.
- Support business operations by helping prioritize and track procurement requests.
Qualifications
Education
- Associate's degree in Business Administration, Supply Chain Management, Procurement, Operations, or a related field preferred.
- Equivalent combination of education and relevant experience may be considered.
Experience
- 2–4 years of procurement, purchasing, supply chain, accounts payable, administrative support, or related operational experience preferred.
- Experience working within ERP, purchasing, or procurement systems preferred.
Knowledge, Skills, and Abilities
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and commitment to accuracy.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Experience with procurement, ERP, or inventory management systems preferred.
- Ability to analyze information, solve problems, and escalate issues appropriately.
- Strong customer service mindset and collaborative approach to supporting internal stakeholders.
Physical Requirements
- Ability to sit, stand, and work at a computer for extended periods.
- Ability to occasionally lift up to 25 pounds.
- Ability to travel as required for business needs.
This position plays a critical role in supporting procurement operations by ensuring efficient purchasing processes, maintaining strong supplier relationships, and delivering high-quality support to internal business partners.
Reporting Structure
Reports directly to the Director of Procurement.
