Position Summary
The Procurement Specialist is responsible for executing day-to-day purchasing activities to support production and operational needs. This role focuses on purchase order execution, supplier coordination, and maintaining accurate system data to ensure materials are available when needed.
Role Design
Responsibility (Core Activities)
- Create, issue, and manage purchase orders in Epicor based on system demand and direction from senior team members
- Track and expedite material deliveries to support production schedules
- Communicate with suppliers to confirm order status, delivery dates, and resolve routine issues
- Maintain accurate procurement data including pricing, lead times, and supplier information
- Assist in resolving discrepancies related to shipments, invoices, and order quantities
- Support inventory and production teams with material status updates
- Assist with return material authorizations (RMAs) and supplier follow-up
- Support continuous improvement of procurement processes and data accuracy
Accountability (Owned Outcomes)
- Timely and accurate execution of purchase orders
- Accuracy and integrity of procurement data within Epicor
- On-time follow-up and communication on open orders
- Responsiveness to material-related issues and requests
- Proper escalation of risks, delays, or discrepancies
Control (Decision Rights)
- Prioritization of daily purchasing tasks and follow-ups within assigned scope
- Routine supplier communication and expediting activities
- Identification and escalation of supply risks or delays to senior team members
Influence (Cross-Functional Impact)
- Support Production and Inventory teams by ensuring visibility to material status
- Coordinate with suppliers to support delivery performance
- Support Senior Procurement Specialists on higher-priority or complex items
- Contribute ideas to improve purchasing efficiency and data quality
Key Responsibilities
- Execute purchase orders and track delivery status
- Communicate with suppliers regarding orders and timelines
- Maintain accurate system data and records
- Support resolution of basic procurement and supplier issues
- Assist with inventory and material flow coordination
- Participate in team efforts to improve procurement processes
Cross-Functional Interfaces
- Production: Support material availability for production jobs
- Inventory / Shipping & Receiving: Coordinate inbound materials and delivery timing
- Procurement Team: Support execution of purchasing strategy and escalation
- Suppliers: Coordinate order execution and communication
Qualifications
- High school diploma required; associate or bachelor’s degree in Supply Chain, Business, or related field preferred
- 0–2 years of experience in purchasing, supply chain, or related field (internships welcome)
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks in a fast-paced environment
- Strong communication and problem-solving skills
- Proficiency in Microsoft Office (Excel, Word)
- Experience with ERP systems (Epicor preferred) is a plus
