JOB SUMMARY

As an Associate Procurement Specialist, you will support procurement operations by executing purchasing transactions and coordinating the acquisition of materials, equipment, supplies, and services. This position focuses on processing purchase requests, supporting sourcing activities, maintaining accurate data, and ensuring timely procurement activities under established guidelines. In this role, you will help ensure materials and services are obtained at the best value while meeting company standards for quality, delivery, and compliance. This is an entry-level professional role designed to build foundational procurement knowledge and skills.

KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS
Review purchase requisitions for completeness and accuracy of information and follow up with requestors to clarify or obtain missing information.
Apply defined procurement guidelines to determine appropriate sourcing methods, including existing agreements or standard purchasing channels.
Support vendor selection by gathering quotes and comparing pricing, delivery, and quality requirements.
Process purchase orders for materials, equipment, supplies, and services following established procedures.
Communicate with vendors and internal stakeholders to support order status updates and resolve routine issues.
Maintain accurate procurement data, including pricing, vendor information, and order records.
Support the maintenance of pricing agreements and procurement documentation.
Support efforts to identify alternative sources of supply as needed.
Assist with supplier outreach and information gathering to support identification of new sources of materials and supplies.
Build and maintain positive working relationships with internal partners and suppliers.
Ensure compliance with company policies, procedures, and procurement standards.
Regular, reliable attendance at the worksite or assigned location.
Perform other duties and responsibilities related to the nature of the job as assigned.
QUALIFICATIONS
Education & Experience
Bachelor’s degree in Business, Supply Chain Management, or related field OR a high school diploma or equivalent and relevant experience in procurement or purchasing processes.
Industry experience preferred.
Knowledge, Skills & Abilities
Basic knowledge of procurement practices and purchasing procedures.
Familiarity with materials, supplies, and related products used in operations.
Ability to learn and apply procurement systems, processes, and policies.
Developing analytical and problem-solving skills with the ability to identify issues and follow established processes to resolve or escalate them.
Effective verbal, written, and comprehension communication skills.
Strong interpersonal skills with the ability to build and maintain positive working relationships.
Strong organizational, time management, and multitasking skills with the ability to manage multiple priorities.
Strong attention to detail and accuracy in maintaining data and documentation.
Proficient in Microsoft Office programs, specifically Excel, Outlook, and Word.
Willingness to work nights, overtime, and weekends as required.
PHYSICAL REQUIREMENTS
Ability to lift, push, or pull objects of various dimensions up to 30 lbs. of weight occasionally.
Ability to perform primarily sedentary work and tolerate prolonged standing, sitting, and walking.
Ability to perform repetitive motions such as typing and data entry using a keyboard and mouse.
Ability to communicate clearly and effectively.
