Procurement Operations Analyst
Hybrid Position
MD Energy Advisors (MDEA) is a rapidly growing energy management company that provides solutions to Commercial and Utility clients across the United States. As we continue to expand our operations, we are seeking a highly organized and client-focused Procurement Operations Analyst to support our Energy Procurement division.
The Procurement Operations Analyst will be responsible for coordinating the operational execution of electricity and natural gas procurement activities across the client lifecycle, with a primary focus on client facing issue resolution. This role requires a detail-oriented professional who can manage account issues, procurement workflow discipline, reporting accuracy, and cross-functional communication while helping senior procurement and business development team members focus on revenue-producing activity.
PRIMARY RESPONSIBILITIES
- Serve as the day-to-day operational point of contact for client, utility, and supplier issue resolution across the energy procurement lifecycle.
- Communicate directly with utilities on behalf of clients to resolve account drops, billing discrepancies, meter issues, usage exceptions, and related account maintenance items.
- Communicate with suppliers regarding account drops, assignments and assumptions, contract end dates for new clients, enrollments, renewals, and contract discrepancies.
- Manage and track resolution of billing disputes, enrollment failures, supplier service issues, utility issues, account drops, and other operational discrepancies.
- Coordinate supplier enrollments, contract assignments, renewals, account changes, and supplier service requests to ensure accurate and timely execution.
- Maintain client communication updates and internal status notes to provide timely visibility into open issues, next steps, and resolution timing.
- Manage operational execution of electricity and natural gas procurement transactions in coordination with procurement, sales, suppliers, and clients.
- Support large portfolio procurements by organizing account data, usage history, supplier communications, bid documentation, and RFP deliverables.
- Compile supplier RFP packages for large bids in coordination with sales support staff and the procurement team.
- Validate account lists, usage data, contract terms, and supporting documentation before bid release, client delivery, enrollment, and reporting updates.
- Prepare client budgets and assist with budget updates using procurement data, pricing information, usage history, contract assumptions, and market inputs.
- Assist with position reports from eTrac and support reporting accuracy for clients, procurement leadership, and management.
- Enter, maintain, and audit deal, contract, account, and procurement status information in Salesforce and eTrac.
- Maintain procurement status reports in SFDC and eTrac to support pipeline visibility, operational accountability, and data integrity.
- Develop and maintain standard operating procedures for procurement operations workflows, issue resolution, account maintenance, RFP administration, and reporting.
- Identify workflow improvements, automation opportunities, and process controls to improve turnaround time, data accuracy, issue resolution, and client experience.
- Partner cross-functionally with procurement, sales, accounting, energy efficiency, suppliers, and utilities to ensure smooth handoffs and execution.
- Support onboarding of new clients by coordinating account data collection, utility and supplier contacts, enrollment requirements, and contract information.
- Track issue resolution metrics, RFP turnaround times, account drop recovery, contract processing accuracy, CRM/eTrac data integrity, and client satisfaction trends.
- Assist with special projects and, as capacity allows, support business development lead generation initiatives.
- Oversee the vetting, and approval of retail suppliers, ensuring we partner only with the best in the industry to meet our standards.
QUALIFICATIONS
- Bachelor's degree in business, economics, energy, operations, or equivalent related work experience.
- 3-5 years of experience in operations, procurement, energy brokerage, utilities, customer operations, account management, or a related field.
- Experience supporting electricity and natural gas procurement activities, retail energy supplier processes, or utility account management preferred.
- Demonstrated ability to communicate with commercial clients, utilities, and suppliers to resolve billing, enrollment, account, usage, meter, and contract issues.
- Strong project management, organizational, and follow-through skills with the ability to manage multiple deadlines and priorities simultaneously.
- Advanced proficiency in Microsoft Excel and Microsoft Office; experience with Salesforce CRM, eTrac, or similar operational tracking systems preferred.
- Exceptional attention to detail and commitment to data accuracy, account accuracy, contract accuracy, and documentation quality.
- Ability to analyze usage data, account information, contract terms, pricing information, and issue patterns to identify practical solutions.
- Strong written and verbal communication skills, including the ability to provide clear, concise status updates to clients and internal stakeholders.

The expected salary range for this position is $80,000-$90,000 annually, commensurate with experience, with eligibility for a discretionary annual performance bonus.
