Job Summary:
The Procurement Assistant - Suppliers position supports Procurement and Contracts Management by creating and maintaining supplier records in the University’s financial system. This position reviews supplier applications, enters and updates supplier information, verifies required documentation, maintains organized records, and provides responsive customer service to suppliers, campus departments, and Procurement staff.This position requires strong attention to detail, accuracy, sound judgment, and the ability to manage a steady workload in a timely and organized manner.
Job Description:
The Procurement Assistant - Suppliers is responsible for supporting the supplier setup and maintenance process for the University. This position reviews supplier/vendor applications and supporting documentation, creates new supplier records, processes approved supplier record changes, and ensures documentation is complete and properly maintained.
This position serves as a point of support for supplier-related questions from campus departments, suppliers, and Procurement Services staff. The successful candidate will communicate clearly and professionally, provide courteous service, and follow up on incomplete or pending items while continuing to process new work.
Success in this role will be measured by accuracy, timeliness, quality of documentation, responsiveness to customers, ability to manage assigned work, and consistent adherence to University and departmental procedures. This position is critical in supporting the goal of providing timely, accurate, and helpful service to the University community.
Examples of Work
Reviews supplier/vendor applications and supporting documentation for completeness and accuracy.
Creates new supplier records using approved vendor application materials.
Processes approved updates to existing supplier records.
Verifies supplier banking information and other sensitive changes according to established procedures.
Confirms that supplier record changes are properly requested and documented.
Follows internal control, separation of duties, and supplier verification requirements.
Communicates with suppliers and campus departments regarding missing information, documentation needs, and supplier setup questions.
Monitors pending applications and follows up on incomplete items in a timely manner.
Balances new incoming work with follow-up on previously received applications or requests.
Scans, renames, organizes, files, and retrieves supplier documentation.
Maintains accurate records to support departmental review, compliance needs, and future questions.
Provides courteous and timely customer service to suppliers, campus departments, and Procurement staff.
Learns new supplier processes.
Assists with supplier-related questions and support as procedures and systems change.
Performs related duties as assigned.
