Job Description:
General Job Description: Maintain accurate and valid payroll data in the payroll system. Process payroll on a bi-weekly basis. Ensure employees are compensated accurately and timely. Generate reports for analysis and reconciliation. Maintain confidentiality of and safeguard all payroll data and records.
Essential Duties and Responsibilities � Essential duties may include, but are not limited to the following:
- Set up new hire assignment information in the payroll system.
- Setup Educational Retirement deduction for all contract employees.
- Process personnel payroll changes
- Process addenda.
- Process employee payout due to Leave of Absence, FMLA, Resignation or Retirement.
- Maintain statistical data of New Hires, LOA, FMLA, Resignation, Retirement and Foreign Teachers.
- Assist new employees with completing a new hire packet.
- Maintain all payroll reports for each pay period.
- Reconcile NMERB monthly billing.
- Participate in the End of the Year rollover activities.
- Process Direct Deposit Voids and Salary Adjustments.
- Prepare the paperwork for payroll check issuance through AP.
- Process manual docks.
- Create control codes for new positions.
- Prepare billing adjustments for journal entries.
- Set-up pay periods in the payroll default setting.
- Create manual payroll invoices.
- Set-up deduction refund through Employee Deductions & Benefits screen.
- Process employee garnishments.
- Maintain W-4 forms and enter data in the payroll system for federal and NM State tax deductions.
- Process monthly payroll deduction checks.
- Process checks for MCFUSE and Navajo Townsite.
- Reconcile Worker's Compensation billing on a quarterly basis and sent payments electronically.
- Reconcile Employee Retiree Health Care Authority billing on a monthly basis and sent payments.
- Participate in annual audit preparation.
- Assist with W-2 Processing
- Other duties assigned.
Qualification Requirements:
- Equivalent to the completion of the twelfth grade supplemented by course work or specialized training in accounting, payroll systems or a related field.
- 3 or more years preferred experience in Payroll or Accounting, Finance, Business Administration or closely related field.
- Proficient in Excel spreadsheets or various accounting software programs preferred.
Physical Requirements: Ability to perform the job and access the environment for which you are hired. The following may be required: Sitting, standing, lifting, moving about the room or school, carrying (up to 50 pounds), reaching, squatting, kneeling, prolonged typing, physical ability to type on a keyboard terminal, and moving light furniture.
Equipment/Technology Handled: Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology.
Work Environment: On-site attendance is mandatory for this position. Must be able to work within various degrees of noise, temperature, and air quality. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignment without direct supervision. After hour work may be required.
Terms of Employment: Salary and work calendar established yearly by the district.
