THE OPPORTUNITY:
We are seeking a systems-minded Payroll Tax & HRIS Specialist to be our in-house expert for the payroll side of ADP Workforce Now (WFN) and eTime (Enhanced Time) and for multi-jurisdiction payroll tax compliance. This role leads all payroll-impacting WFN and eTime configuration, owns end-to-end payroll tax compliance across the U.S., Puerto Rico, and Canada, and is the primary resource for team member, manager, and leader questions in the shared payroll inbox.
Success in this role means the inbox shrinks over time, not just gets answered. You will play a key part in modernizing how payroll works – implementing AI tools to handle routine inquiries and streamline operations – while keeping your skills sharp by processing payrolls each cycle.
The ideal candidate brings a strong working knowledge of payroll – how taxes, earnings, deductions, accruals, and timekeeping setup flow into every paycheck – and is a confident communicator and sharp troubleshooter who makes complex systems work simply for the people who use them.
KEY RESPONSIBILITIES:
Team Member, Manager & Leader Support (Payroll Inbox)
- Own daily triage and resolution of the shared payroll inbox as the first point of contact for WFN and eTime questions from team members, managers, and leaders.
- Resolve high-volume inquiries end to end – ADP access and time setup, PTO and accrual balances, timecard corrections, and pay questions.
- Fix issues at the root cause and build automation wherever possible, rather than applying one-off fixes.
- Implement payroll efficiencies with AI: deploy and refine Claude-based workflows to handle tier-1 inquiries and maintain the resources behind them.
- Train team members and managers on eTime and WFN self-service tools, and advise leadership on payroll and timekeeping policies and system capabilities.
Payroll Systems Administration (ADP WFN / eTime)
- Act as system lead and subject matter expert for all payroll-impacting areas of WFN and eTime.
- Configure and maintain pay rules, accrual profiles, labor level sets, holiday schedules, and time-off policies in eTime, ensuring alignment with organizational changes, union contract provisions, and federal, state, and provincial regulations.
- Maintain WFN foundational data including earnings and deduction codes, payroll groups, security profiles, and workflow approvals.
- Audit timekeeping records, system policies, and data integrity for compliance with legal standards and internal controls.
- Evaluate new ADP releases and features; recommend and implement enhancements that improve accuracy and efficiency.
Payroll Tax, Compliance & Processing
- Own multi-jurisdiction payroll tax compliance for the U.S., Puerto Rico, and Canada – federal, state, provincial, and local – including reciprocity rules and tax treatment of earnings and deductions.
- Manage state and local tax registrations, agency setup, and account maintenance as the company expands into new jurisdictions.
- Review, reconcile, and file quarterly and annual payroll tax data; prepare and track amendments.
- Research and resolve tax notices and agency correspondence to closure.
- Set up and maintain all taxes in the HRIS for appropriate withholding, filing, and record keeping; audit setups against jurisdiction requirements.
- Administer unclaimed wage filings, Canada ROEs, and garnishment, child support, and court-order compliance.
- Process assigned payrolls each cycle.
- Review and process payroll adjustments including PTO, disability, bereavement, and other leaves.
Reporting & Continuous Improvement
- Build and maintain WFN and eTime reports for business needs, compliance metrics, and audits.
- Stay current on ADP product roadmaps and regulatory changes; recommend and implement improvements.
- Contribute to broader Total Rewards projects as the team's needs evolve.
KEY QUALIFICATIONS:
- 5+ years of combined payroll and/or HRIS experience supporting high-volume, multi-state populations.
- 3+ years of hands-on ADP WFN and eTime (Enhanced Time) experience, including system configuration and administration – not solely end-user processing.
- 3+ years owning multi-state payroll tax compliance – registrations, filings, reconciliations, amendments, and notice resolution.
- Strong knowledge of payroll taxes and regulatory compliance across multiple jurisdictions.
- Excellent analytical and troubleshooting skills with high attention to detail.
- High proficiency in Microsoft Excel (VLOOKUP, IF statements, pivot tables, charts).
- Excellent communication and relationship-building skills, with the confidence to advise audiences from front-line team members to senior leaders.
PREFERRED QUALIFICATIONS:
- ADP certifications such as Certified Payroll Specialist in ADP Workforce Now.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC).
- Experience with ADP SmartCompliance for employment tax.
- Experience supporting Canada payroll and ROE administration.
- Experience with union environments and contract-driven pay rules.
- Experience using AI tools (e.g., Claude) to automate or streamline payroll or HR workflows.
