Summary:
Responsible for payroll processing for the organization, department oversight, and serving as the primary liaison with the Payroll Vendor
Essential Duties and Responsibilities:
- Review and transmit payroll information to Paycom.
- Determine that all payroll and federal tax forms are completed and filed by Paycom.
- Serve as liaison between Paycom and the organization to resolve system or processing issues.
- Supervise, guide, and review the daily work generated by the payroll specialist and/or clerk.
- Prepare accurate, complete, and timely payroll and maintain strict confidentiality of file maintenance.
- Perform, track, and monitor Sick & Vacation accruals to ensure correct disbursements.
- Comply with and enforce all payroll-related recommendations requested by auditors, the DOL, IRS, Social Security Administration, Immigration, and the Florida New Hire Reporting Center.
- Maintains confidential records and filing systems for the payroll department, including tax documents, payroll reports, and deferred compensation data on the 401(k) plan.
- Retrieves a variety of daily, monthly, and yearly reports from the payroll vendor system across various internal processing stations.
- Compiles and submits the New Hire report to the Florida New Hire Reporting Center, as well as specialized onboarding reports for recruiters (e.g., Ticket to Work, Empowerment Zone).
- Submits finalized payroll checklists to the Senior Accounting Manager for banking/funding approval.
- Prepares and distributes recurring payroll reporting, including Vacation/Sick reports, United Way monthly deductions, quarterly Multiple Worksite Reports (BLS 3020), and the Annual Census GII.
- Prepares payroll-specific general ledger components, including payroll accruals, GL payroll schedules, and 401(k) matches and reconciliations against Fidelity for audit support.
- Other related duties as assigned.
Qualifications
Education and Experience:
- A bachelor's degree in accounting, finance, or a related field is preferred.
- 3-5 years of experience processing payroll for a large company.
- Strong working knowledge of payroll-specific record keeping, tax filing methods, and records management techniques.
- Extensive computer skills in Paycom and Excel.
- Ability to interpret and apply the employee handbook, organizational policies, and federal/state laws and regulations related to payroll.
- Use tact, discretion, initiative, and independent judgment within established guidelines.

Physical Demands:
While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required include close vision and the ability to adjust focus on computer terminals.
Work Environment The noise level in the work environment is usually quiet.
