Payroll Specialist Massachusetts Connections Academy (MassCA) is seeking a detail-oriented and experienced Payroll Specialist to support the Finance and Human Resources departments. This position is responsible for all aspects of payroll preparation and processing, ensuring compliance with federal and state payroll regulations, and providing financial and administrative support to the Business Office. The ideal candidate is highly organized, embraces change, and has the flexibility to learn new systems, adapt to evolving processes, and support continuous improvement initiatives.
Essential Responsibilities
- Prepare, process, and reconcile semi-monthly payroll for more than 250 employees.
- Process payroll accurately and efficiently using ADP.
- Collect, review, and verify approved employee timesheets.
- Coordinate with Human Resources and the Business Office regarding payroll changes, including new hires, terminations, leaves of absence, benefit changes, and other employee status updates.
- Maintain accurate employee payroll records and ensure timely updates within the payroll system.
- Prepare and reconcile monthly, quarterly, and annual reports for retirement systems, employee benefits, payroll taxes, and other payroll-related reporting
requirements. Complete year-end payroll processing and reporting, including W-2 and Affordable Care Act (ACA) reporting. Assist with Workers’ Compensation audits. Maintain and update EPIMS information. Ensure compliance with applicable federal, state, and local payroll laws and regulations.
Support system implementations, process improvements, and workflow enhancements as assigned. Provide support to the Human Resources and Business Office with purchasing, invoice processing, special projects, and other administrative functions as needed. Perform other duties as assigned by the Business Manager.
