We are seeking a Payroll Specialist to manage the day‑to‑day U.S. payroll operations to ensure employees are paid accurately and on time. This role supports the Compensation, Benefits, & Compliance Manager by maintaining payroll records, processing employee changes, and ensuring compliance with federal, state, and local regulations. The Payroll Specialist also partners with site HR to provide accurate payroll information and guidance to assist site HR with addressing employee payroll‑related questions.
So, what will you be doing as a Payroll Specialist?
- Process U.S. payroll on a weekly basis ensuring accuracy in hours, earnings, deductions, and taxes
- Coordinate Canadian payroll on a semi-monthly basis in partnership with the company’s Canadian payroll firm
- Run weekly reporting and audits to accurately process contributions to the U.S. 401(k) and HSA vendors.
- Partner with the site U.S. HR team to update employee payroll information, including new hires, terminations, pay adjustments, and benefit deductions
- Assist the Compensation, Benefits, & Compliance Manager in ensuring payroll practices comply with federal, state, and local regulations, including wage laws and tax requirements.
- Prepare payroll summaries, audit reports, and data for HR and Finance teams.
- Maintain ADP Workforce Now payroll system accuracy, assist with system updates, and troubleshoot programming issues as needed.
- Support mergers and acquisitions by collaborating with internal stakeholders to ensure accurate payroll integration and data alignment.
- Assist the Compensation, Benefits, & Compliance Manager in processing monthly payments to insurance carriers and other ad hoc compensation projects
- Support the Global HR leadership team with ad-hoc HR tasks, projects, and strategic initiatives as assigned
To be successful in this role, you’ll need:
- Experience with U.S. payroll practices, including multi‑state payroll coordination
- Understanding of ADP Workforce Now preferred; ability to learn and navigate payroll and HRIS systems
- Familiarity with benefits deductions, payroll‑benefits reconciliation, and vendor reporting
- High accuracy in data entry, auditing, and reviewing payroll‑related information
- Ability to identify discrepancies, escalate issues appropriately, and support practical solutions
- Ability to maintain strict confidentiality and handles sensitive information with discretion and judgement.
- Strong communication skills with the ability to partner effectively with HR, Finance, and cross‑functional teams
- Ability to manage deadlines in a fast paced environment and prioritize multiple tasks effectively
