What You'll Do
As our Seasonal Event Payroll & Timekeeping Coordinator, you're the person every staff member counts on to make sure their time is recorded accurately and their questions get answered. You'll serve as the frontline resource for all timekeeping activity on-site—keeping records clean, exceptions resolved, and the payroll pipeline running smoothly from first shift to final night.
Timecard Management

Review, audit, and approve employee timecards on a daily and weekly basis, ensuring accuracy across all departments

Identify and resolve missed punches, clock-in/clock-out discrepancies, and unapproved overtime before payroll deadlines

Track and flag California meal period and rest break compliance, escalating penalty situations to the General Manager promptly

Maintain organized, up-to-date timekeeping records for all seasonal staff throughout the event run

Process timecard corrections and adjustments in coordination with department managers and HR
Staff Communication & Support

Serve as the primary point of contact for all staff questions related to timecards, pay periods, and payroll schedules

Communicate clearly and professionally with employees at all levels—from frontline staff to department managers—regarding timekeeping policies and procedures

Proactively notify staff of deadlines, corrections needed, and payroll processing timelines

Conduct brief onboarding orientations for new hires covering clock-in procedures, break requirements, and how to submit timecard corrections

Partner with department managers to ensure consistent enforcement of timekeeping policies across all teams
Payroll Coordination

Liaise with the corporate payroll team to submit accurate, complete timekeeping data by all required deadlines

Assist with onboarding data entry and ensure all new hires are correctly set up in the timekeeping system before their first shift

Track and reconcile final timecards during strike and post-season closeout

Maintain confidentiality of all employee pay and timekeeping records at all times
Reporting & Documentation

Generate daily and weekly timekeeping reports for the General Manager and HR

Document recurring issues, policy violations, and exception patterns, escalating where appropriate

Support post-season payroll audits and recordkeeping as directed by corporate HR
Qualifications
What You Bring
-
2+ years of experience in payroll administration, timekeeping coordination, or HR support—event, hospitality, or entertainment industry experience a strong plus

Working knowledge of timekeeping and payroll platforms; experience with Paycom, ADP, or similar systems preferred

Solid understanding of California wage and hour law including meal periods, rest breaks, and overtime requirements

Exceptional attention to detail and accuracy—especially when working against tight payroll deadlines

Strong written and verbal communication skills with the ability to explain payroll processes clearly to frontline employees

Highly organized, discreet, and able to manage sensitive employee information with professionalism

Comfortable working in a fast-paced, high-volume seasonal environment with shifting priorities

Availability for daytime hours with occasional evening support during peak operational periods

Must be 18 years of age or older
Compensation & Employment Details
Hourly Rate: $25.00 hr
Employment Type: Seasonal/Temporary
Expected Season Duration: Late September – Early November 2026
Work Schedule: Evenings, weekends, and holidays required during operational season
This is a seasonal/temporary position with an anticipated end date. Employment beyond the stated season is not guaranteed.
Pursuant to California SB 1162, the hourly pay rate for this position is listed above. Thirteenth Floor Entertainment Group will not request or consider salary history in making compensation decisions.
