Join Ontario Health in a high-impact payroll role that helps ensure employees are paid accurately, on time, and in compliance with legislation and policy.
The Payroll Coordinator reports to the Payroll Operations Lead/Manager and provides operational and administrative support to Payroll Specialists, Senior Payroll Specialists, employees, and People Leaders. This role is ideal for a detail-oriented payroll professional who brings strong customer service, sound judgment, and a commitment to service excellence in a fast-paced environment.
Here is what you will be doing:
Maintain accurate payroll records, internal procedures, rulings, and audit-ready documentation to support compliance and knowledge sharing.
Monitor and manage the payroll inbox, respond to inquiries, resolve issues, and escalate complex matters appropriately.
Prepare and distribute key payroll documents including pay statements, ROEs, year-end tax forms, and T2200/T2200s.
Support garnishments, union dues, other withholdings, audits, payroll communications, and meeting coordination.
Process payroll and time tracking transactions with accuracy, timeliness, and compliance with legislation and internal policy.
Support variable hour and premium payments such as overtime, on-call, shifts, and other time-related entries.
Collect and validate information for employee lifecycle events including hires, terminations, leaves, disability, pension, benefits, and other payments.
Run audit reports, follow up on missing information, assist with year-end activities, and liaise with HR, Accounting, Service Canada, and pension providers as needed.
Contribute to system updates, testing, reporting, and continuous improvement, including ongoing learning in Workday payroll and time tracking.
Apply strong judgment and attention to internal controls to identify risks, support fraud prevention, and escalate concerns appropriately.
Here is what you will need to be successful:
Education and Experience
Canadian Payroll Association (PCP) certification required and in good standing.
2-5 years of relevant experience in Payroll and Time Tracking.
College diploma or bachelor’s degree program in related field i.e., Accounting, Finance or Business Administration is preferred.
Experience with HRIS or ERP system such as Workday is preferred.
Experience with Time Tracking is preferred.
Experience with unionized populations is preferred.
Experience with HOOPP and/or OBP is preferred.
Experience with Visio or any other Visual Knowledge Sharing software is preferred.
Knowledge and Skills
Clear understanding of Year- End processes from the legislation requirements.
Up-to-date knowledge of payroll and employment legislation to ensure regulatory compliance.
Strong attention to detail, issue resolution and analytical skills.
Excellent customer service skills and attention to detail, with ability to prioritize responsibilities accordingly to meet deadlines.
Confidence to inquire and escalate to Manager/ Operations Lead in instances of uncertainty.
Effective communication and interpersonal skills to work easily with others, and as part of a team.
Motivated to work in a fast-paced environment, to move things forward, to meet timelines and to handle multiple demands simultaneously.
Desire for continual improvement in processes, seeks opportunities to learn and make changes.
Intermediate skills in Microsoft Word, Excel, and Outlook.
High standards of ethics and confidentiality when handling sensitive information.
Demonstrated commitment to client service.
