Title:Payroll Assistant, Central Administrative Office

Schedule:20 hours/week - Schedule TBD

Qualifications:Possession of an Associate’s Degree or higher. Preferably at least two or more years working in an educational setting. Proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables).Experience with integrated financial/HRIS software (e.g., Harpers/MUNIS). Familiarity with FLSA regulations and state-specific teacher retirement systems. Strong interpersonal, communication and organization skills. Ability to work independently and as a member of a team. Reports to:Business Office Specialist and Business Consultant

Work Year:260 days

Essential Job Functions: Assists in the preparation of bi-weekly payroll - calculating earnings as well as voluntary and involuntary deductions, including taxes, retirement, insurance and union dues. Processes timesheets for hourly employees and verifying overtime hours. Act as a primary point of contact for staff inquiries regarding paychecks, direct deposits, tax withholdings, and leave balances. Ensures all contractual obligations are implemented, entered and processed within the payroll system in conformance with contracts, policies and regulations. Prepares and processes payroll for new hires, terminations, leaves of absence, and status changes. Updates employee files accordingly. Updates payroll schedules and implements annual payroll calendars. Monitors leave (sick, personal, vacation, etc.) accruals and reconciles allocations of leave benefits. Ensures compliance with employment contracts and collective bargaining agreements. Oversees preparation and submission of the school payroll to the town the district’s bi-weekly payroll and reconciles with the Town Treasurer and Finance Department Coordinates the semi-annual teacher/staff committee work stipend, mentoring stipend and longevity payroll. Assists with school employee Workers’ Compensation claims Provides HARPERS payroll reports and I-Pass Attendance reports as requested Prepares and submits payroll related journal entries under the direction of the Business Office Specialist. Assists in the preparation of salary calculations for new employees and for all salary adjustments due to changes in FTEs, leaves of absences, sick leave buy-backs etc. Procedurally notifies the finance office of such changes. Maintains an active interest in and knowledge of state and federal laws and regulations regarding payroll administration. Maintains highly confidential information. Partners closely with Human Resources and other departments to ensure seamless administrative operations across the district.

Knowledge/Skills/Abilities: Extremely organized. Extreme attention to detail. Proficiency in payroll processing required Extensive knowledge of payroll software and tax regulations. Discretion with sensitive personal information. Familiarity with Harpers Payroll System is highly desirable. Ability to learn complex systems, multi-task, follow detailed procedures, and meet stringent deadlines.

Physical Working Conditions: Frequently required to sit, stoop, kneel, crouch. Ability to lift and move special education documents and files as needed. Ability to use computers, special education management systems, and district technology.

Terms of Employment: Position Type: 12-month Hours: 20 hours/week (to be agreed upon with business consultant and business office specialist)

Salary Range: $22.21/hour (Step 1) - $24.52/hour (Step 5) *Salary commensurate with experience
