Full-time Description

Under the direction of the HR Manager and guidance of the Payroll, Benefits & Leave Specialist, the Payroll, Benefits & Leave Assistant will assist with payroll and benefits administration and will assist with the administration of employee leave.

Essential Job Duties and Responsibilities

The payroll, benefits & leave assistant will:

  1. Be the first point of contact for answering benefit, payroll, and leave questions. 
  2. Submit invoices to Finance for processing and payment. 
  3. Act as backup for payroll submissions. 
  4. Distribute initial FMLA, LOA, and OJI paperwork. 
  5. Manage the garnishment cycle, including signing for the garnishment, submitting it to Paylocity for deduction, and auditing for accuracy and completion.

The payroll, benefits & leave assistant will assist with:

  1. Payroll Processing
  2. Recordkeeping & Data Entry
  3. Reporting
  4. Employee Inquiries
  5. System Administration
  6. Benefit Enrollment & Communication
  7. Benefit Education & Training 
  8. Requesting Medical Certification
  9. Accounting for Leave Use
  10. Benefits Coordination & Communication

Additional Knowledge, Skills, and Abilities

  1.  Knowledge of the Internet, Google environment, and HRIS systems.
  2. Effective writing skills to include knowledge of proper spelling, grammar, and punctuation & proofreading and editing skills.
  3. Above-average interpersonal, communication, and HR consulting skills with the ability to convey a positive and professional image to applicants and employees.
  4. Effective oral communication skills including telephone skills and manners to handle calls in a professional, tactful, and courteous manner; ability to deal successfully with the public in a friendly manner.
  5. Ability to work with all organizational levels while maintaining the highest ethical and professional standards. Ability to perceive and deal with sensitive issues while maintaining strict confidentiality/objectivity.
  6. Requires a strong attention to detail.
  7. Requires public speaking/presentation skills to address small and large groups.
  8. Organizational skills to comply with department procedures and to keep an efficient filing system so that information is easily obtained.
  9. Ability to work as a team player to interact and assist all employees as necessary.
  10. Ability to work a heavy workload, under pressure of conflicting deadlines and competing needs.

Physical Demands

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand; walk; and use hands to finger, handle, or feel. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and color vision. Work in a non-smoking area.

Special Conditions

Maintains a valid driver’s license and good driving record with an appropriate level of insurance. Ability to travel from administrative headquarters to assigned location and overnight travel if necessary.
