About the Role:
The Payroll Assistant plays a critical role in ensuring the accurate and timely processing of employee payroll. This position involves managing payroll data, verifying timesheets, and coordinating with our Field Payroll Specialist and various departments to resolve discrepancies. The Payroll Assistant supports compliance with federal, state, and local payroll regulations, contributing to the organization's financial integrity and employee satisfaction. By working with our Corporate team, this role helps streamline payroll operations and supports audit readiness.
Minimum Qualifications:
- Proficiency in Microsoft Excel, including the ability to create and manage spreadsheets and use formulas.
- High school diploma or equivalent.
- Basic understanding of payroll processes and terminology.
- Strong attention to detail and organizational skills.
- Ability to handle confidential information with discretion.
Preferred Qualifications:
- Associate degree or higher in Accounting, Business Administration, or related field.
- Experience with payroll software or systems.
- Familiarity with federal and state payroll regulations.
- Excellent communication skills for interacting with employees and management.
- Prior experience in administrative or support services industry.
Responsibilities:
- Assist with processing and verify employee timesheets and attendance records for payroll accuracy.
- Maintain and update payroll records, including new hires, terminations, and changes in pay rates.
- Assist in the preparation and distribution of payroll reports and summaries.
- Coordinate with Field Payroll Specialist and the CFO to resolve payroll discrepancies and answer employee payroll inquiries.
- Ensure compliance with applicable payroll laws and company policies by maintaining accurate documentation.

The Payroll Assistant utilizes Microsoft Excel daily to organize payroll data, perform calculations, and generate reports that ensure accuracy and compliance. Attention to detail is essential when reviewing timesheets and payroll records to identify and correct errors promptly. Communication skills are employed to liaise effectively with HR, finance teams, and employees to resolve payroll issues and provide clear information.
