Position Summary
The Seasonal Payroll Assistant provides administrative and payroll support during the agricultural harvest season. This position assists with maintaining employee records, processing payroll-related documentation, updating employee information, registering paycards, and ensuring payroll and personnel files are accurate and organized. The Payroll Assistant works closely with Human Resources, Payroll, and Operations teams to support seasonal workforce needs.
Essential Duties and Responsibilities
- Scan and electronically file payroll, HR, and employment documents into employee personnel files.
- Register and distribute employee paycards and assist employees with paycard-related questions.
- Respond to employee inquiries and route calls to the appropriate department when necessary.
- Update employee information in payroll and HR systems, including address changes, phone numbers, emergency contacts, direct deposit information, and other employment records.
- Assist with collecting, reviewing, and entering employee timekeeping records.
- Process new hire paperwork and assist with employee onboarding documentation.
- Maintain accurate employee records and ensure all required forms are completed and filed.
- Assist employees with payroll-related questions regarding paychecks, deductions, direct deposits, and paycards.
- Prepare and maintain payroll reports, spreadsheets, and tracking logs.
- Ensure compliance with company policies, payroll procedures, and confidentiality requirements.
- Support HR and payroll projects as assigned.
- Perform general administrative duties including data entry, copying, filing, scanning, and document management.
- Follow all company safety policies and procedures.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Previous administrative, payroll, HR, or office experience preferred.
- Proficiency in Microsoft Office, including Excel, Word, and Outlook.
- Strong attention to detail and organizational skills.
- Ability to maintain confidentiality and handle sensitive employee information.
- Bilingual English/Spanish preferred.
- Ability to work efficiently in a fast-paced agricultural environment during peak season.
Physical Requirements
- Ability to sit for extended periods while working on a computer.
- Ability to occasionally lift up to 25 pounds.
- Ability to perform filing, scanning, and other administrative tasks throughout the workday.
Work Environment
- Seasonal agricultural warehouse and office environment.
- Overtime and weekend work may be required during peak harvest operations.
