Position Summary:
Reporting to the Director of Human Resources, the Payroll & HRIS Coordinator supports the accurate and efficient administration of PAL’s payroll processes and HR Information System. This role ensures timely and compliant payroll processing, maintains data integrity across all HRIS modules, and assists with system updates, audits, and reporting. The Coordinator serves as a key liaison between HR, Finance, and program teams to ensure consistency between payroll and HR data, troubleshoots issues within the HRIS, and supports process improvements that enhance accuracy, compliance, and overall employee experience.
What you’ll do:
Payroll Administrative Support

Reviews and identifies errors or missing data on timesheets and communicates to staff and managers to ensure timesheet completeness for payroll.

Ensures employees are completing timesheets weekly – follow procedures for staff reminders and emails regarding time sheet completeness.

Processes payroll for hourly and salaried employees as needed.

Provides assistance in entering and paying all wage garnishments.

Ensures payroll deductions and withholdings are accurate.

Supports the Payroll Administrator to conduct audits ensuring accuracy and maintaining data integrity.

Files personnel data status forms, voluntary deductions and similar documents.

Updates and maintains a list of issues/items to track changes in payroll.

Prepares standard manual checks payroll and escalates issues to Payroll Administrator in a timely manner.

Supports training initiatives with the payroll team to coordinate suitable training solutions for employees
HRIS Administration and Management

Serves as the primary administrator for PAL’s HRIS (Paycom), including system configuration, user access, and troubleshooting.

Maintains data integrity through regular audits and updates across all HR modules.

Manages employee data throughout the full lifecycle (onboarding, job/comp changes, leaves, separations, offboarding).

Ensures timely processing of Personnel Action Forms within the system to enable efficient process of changes to employee roles

Manages PAL organizational data in the HRIS

Supports the recruiting team to clean up inactive vacant positions or posted roles.

Coordinates with HR, Finance, and program teams to ensure seamless integration between payroll and HR systems.

Collaborates with the HRIS vendor to resolve technical issues, submit enhancement requests, and ensure optimal system functionality.

Ensures that all HRIS modules (including Time & Attendance, Benefits, and Applicant Tracking) are updated and aligned with current practices.

Assists in identifying and working on opportunities for process improvements and implementation of new forms and workflows within the systems such as Performance evaluation templates, job descriptions templates, and approval of workflows.
Reporting and Compliance

Generates accurate and timely HR and payroll reports to support audits, compliance, and decision-making.

Develops and maintain standard and ad hoc reports for HR metrics, funder/grant reporting, and compliance tracking.

Prepares data for financial, insurance, pension, and government audits.

Supports data analysis for performance evaluations, training completion, and leave management.
Training and Support

Provides technical assistance and training to employees and managers on HRIS functionality, time entry, and payroll processes.

Identifies opportunities to streamline HR workflows and leverage the HRIS to improve efficiency.

Promotes open communication and a culture of feedback and service excellence.
Other HR Operations and Administrative Tasks

Learns the functions and protocols of the payroll team in order to assist timely and accurate processing of PAL’s payroll, identify areas to make improvements for efficiency and accuracy and make recommendations.

Reviews and reconcile monthly credit card statements to ensure accuracy, proper documentation, and compliance with organizational policies.

Prepares and process payment vouchers with accurate coding, documentation, and approvals to ensure timely and compliant payments.

Provides support for Payroll Administrator and the Director of HR in payroll reports or other reconciliation or audit reporting for the HR department.

Be the main point of contact for file storage and retrieval – for both physical and electronic files.

Supports other critical administrative HR functions as requested by the Payroll Administrator.

Supports other areas of HR as needed and directed by the Payroll Administrator or the Director of Human Resources
Qualifications
Who you are/What you bring:

Bachelor’s degree or associate's degree in accounting, Human Resources, Human Business Administration, or related field;

1+ years of experience in Payroll Administration or payroll processing

Payroll system software (e.g., Paycom preferred) and Microsoft Office Suite Data Management and or other reporting tools is preferred

Accurate data entry skills and attention to detail

Excellent Microsoft excel skills and quality control checking, data management

Excellent organizational skills and Detail-oriented

Strong analytical skills with the ability to interpret and present information effectively.

Excellent problem-solving abilities

Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
Compensation: The range for this role is $32.96/hr
Work Hours: 9am – 5pm, Monday - Friday
