ABOUT OUR ROLE 

As the Payroll /Housing Manager, you will oversee accurate and timely payroll administration while managing employee housing operations. This role maintains payroll records, coordinates with managers and Human Resources, supports compliance, and ensures company-provided housing is safe, organized, and aligned with Trailborn’s standards.

The Payroll /Housing Manager reviews timekeeping and payroll inputs, resolves discrepancies, maintains confidential employee records, and partners with Finance, Human Resources, Operations, and property leaders. The role also coordinates housing assignments, occupancy records, inspections, maintenance requests, resident communications, and move-in and move-out processes.

The ideal candidate is highly organized, discreet, and detail-oriented, with experience in payroll administration, employee relations, housing or property coordination, and cross-functional communication.

ESSENTIAL 

FUNCTIONS 

  • Process andreview ofpayroll inputs, including timecards, earnings, deductions, reimbursements, and approved adjustments, according to established payroll schedules.
  • Audit timekeeping records,identifydiscrepancies, and work with managers and Human Resources to secureaccurateandtimelycorrections.
  • Maintain confidential payroll files, reports, employee records, and documentationin accordance withcompany retention and privacy requirements.
  • Respond to employee payroll questions professionally and escalate tax, garnishment, benefits, or policy matters to theappropriate internalor external resource.
  • Support payroll reconciliations, reporting, audits, and year-end activities in partnership with Finance and Human Resources.
  • Monitor compliance with wage-and-hour requirements, company policies, payroll deadlines, and internal controls.
  • Manage employee housing assignments, occupancy records, waitlists, agreements, keys, deposits, and related documentation.
  • Coordinate resident move-ins, move-outs, orientations, room changes, and inspections.
  • Conduct regular housing inspections and coordinate maintenance, housekeeping, safety, and security requests with property teams or vendors.
  • Communicate housing expectations, community standards, and policy updates clearly to residents; document concerns and partner with Human Resources on escalations.
  • Track housing inventory, occupancy, costs, damages, and payroll-related housing deductions; prepare routine reports for leadership.
  • Protect sensitive employee and business information and exercise sound judgment in all payroll and housing matters.
  • Perform other duties as assigned.

QUALIFICATIONS 

Required Qualifications

  • Minimum 2 years of payroll administration, accounting support, human resources operations, or related experience.
  • Experience reviewing timekeeping data, payroll inputs, reconciliations, and confidential employee records.
  • Experience coordinating employee housing, residential operations, property administration, or a comparable program.
  • Working knowledge of wage-and-hour practices, payroll deadlines, privacy requirements, and internal controls.
  • Strongproficiencywith spreadsheets, payroll or HR systems, and business communication tools.
  • Ability to manage competing deadlines, resolve discrepancies, and handle sensitive matters with discretion.

Preferred Qualifications

  • Hospitality, resort, seasonal workforce, or multi-property payroll experience preferred.
  • Experience with payroll, timekeeping, HRIS, property management, or housing management systems preferred.
  • Bilingual (Spanish/English) preferred.

PHYSICAL 

REQUIREMENTS

  • Ability to work for extended periods at a computer and review detailed payroll and housing records.
  • Ability to walk through employee housing facilities, navigate stairs, and conduct routine inspections.
  • Occasionally lift and carry items weighing up to 25 lbs.
  • Ability to travel between property offices and company housing locations as needed.

SCHEDULE

This role generally follows a business-hours schedule but requires flexibility to meet payroll deadlines, support employee move-ins and move-outs, respond to urgent housing matters, and provide coverage during peak seasonal periods. Occasional evenings, weekends, and holidays may be required.
