Position Summary
We are seeking a detail-oriented and organized Payroll and Billing Specialist to join our growing non-skilled home care agency team. This role is responsible for managing caregiver payroll, client billing, EVV verification, and reimbursement processing while ensuring compliance with Medicaid, payer, and agency requirements. The ideal candidate must have hands-on experience with HHAExchange and a strong understanding of home care operations.
Key Responsibilities
- Process weekly payroll for caregivers and field staff accurately and on time - Primary backup to Director of Payroll and Billing
- Manage client billing for Medicaid, private pay, and other payer sources
- Review and verify Electronic Visit Verification (EVV) records for accuracy and compliance
- Utilize HHAExchange to maintain schedules, verify visits, resolve exceptions, and process claims
- Investigate and resolve payroll discrepancies, billing issues, denied claims, and missing documentation
- Coordinate with schedulers, caregivers, and management to ensure accurate timekeeping and authorization usage
- Monitor authorizations, service hours, and payer requirements to prevent billing errors
- Prepare and submit invoices and claims in accordance with agency and payer deadlines
- Maintain accurate employee and client records while ensuring confidentiality and HIPAA compliance
- Generate payroll, billing, and operational reports for management as needed
- Assist with audits and documentation requests from payers and regulatory agencies
- Support office operations and administrative tasks as assigned
Qualifications
- Minimum 2 years of payroll and billing experience in home care or healthcare
- Required: Working knowledge and hands-on experience with HHAExchange
- Understanding of Medicaid billing, EVV requirements, and home care compliance standards
- Experience processing caregiver payroll and resolving payroll discrepancies
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and meet strict deadlines
- Proficient in Microsoft Office, especially Excel and Outlook
- Excellent communication and problem-solving skills
- Ability to work independently and collaboratively in a fast-paced environment
Preferred Qualifications
- Experience in a non-skilled home care agency environment
- Knowledge of private pay billing and insurance claim processes
- Familiarity with payroll systems such as ADP, Paychex, or similar platforms
