Witham Family Hotels is seeking a Payroll & Audit Specialist to join our Accounting team in a full-time, year-round role.
In this position, you'll be responsible for processing payroll for our hotel properties while ensuring the accuracy and integrity of payroll and financial data. You'll also oversee the daily audit process for the Bar Harbor Inn, reviewing financial activity across multiple hotel systems to verify transactions, identify discrepancies, and ensure reports are complete and balanced. This role requires more than simply processing payroll. You'll investigate discrepancies, troubleshoot issues, reconcile data across multiple systems, and identify solutions when things don't balance. You'll become the go-to expert in our payroll processes, Excel workbooks, and hotel operating systems, serving as a trusted resource for all our properties. Your work will help ensure employees are paid accurately and on time, financial records are reliable, and payroll operations run smoothly throughout the year, including during our busiest seasonal transitions.

Position Details:

Shifts: Vary but will primarily be weekdays.
Key Responsibilities:
-
Learn and audit Bar Harbor Inn daily audit paperwork across multiple systems, including Book4Time, Opera, Symphony, Shift4, Heartland, GiftUp, and Stripe

Process and audit imported data in complex Excel worksheets, ensuring accuracy across multiple interconnected spreadsheets

Process payroll weekly using UKG software (multiple modules) and related Excel worksheets

Continue to learn and apply payroll-related policies, procedures, and employment laws

Guide the onboarding payroll processes, including high-volume seasonal hiring and rehires (300+ employees), with a focus on H-2B program requirements and reimbursements

Initiate & generate data for annual payroll processes such as:

Annual pay increases (March/April)

End-of-season bonuses

Seasonal employee separations, including PTO payouts, H-2B reimbursements, and housing deposit returns

Complete required quarterly and annual payroll verifications, including 941s and W-2s

Assist with backend payroll reporting in UKG for HR and leadership requests

Collaborate with department managers across properties to support payroll accuracy and communication

Take on additional payroll- and accounting-related tasks as needed
Skills & Qualifications:
- Payroll processing experience is required. Multi-location or multi-company payroll experience is preferred.
- Advanced Excel skills are required, including the ability to work confidently with large datasets, complex formulas, lookups, pivot tables, and interconnected spreadsheets.
- Strong analytical and troubleshooting skills with the ability to investigate discrepancies, identify root causes, and resolve issues independently.
- Ability to reconcile payroll and financial data across multiple systems while maintaining a high level of accuracy and attention to detail.
- Experience with UKG, Sage 50, or similar payroll and accounting software is preferred.
- Comfortable learning and navigating multiple software platforms and adapting to new systems and processes.
- Highly organized with the ability to manage multiple priorities and meet deadlines in a fast-paced, seasonal environment.
- Self-motivated and dependable with the ability to work independently while collaborating effectively with Accounting, Human Resources, and property leaders.
- Demonstrates professionalism, discretion, honesty, and integrity while handling confidential payroll and employee information.
