Payroll & Accounts Payable Clerk

Reports To: Business Manager & Superintendent

Contract: Classified - 240

Position Purpose

The payroll & payables clerk ensures that all district employees and vendors are paid in an accurate and timely manner, reviews timesheets and invoices for validity, accuracy, and proper authorization.

Essential Functions

•Maintains employee payroll information files, and records in both written and electronic formats ensuring accuracy and providing up-to-date reference and audit trail for compliance. •Processes regular monthly and special payrolls in eFinance, including printing payroll checks, and direct deposit vouchers. •Maintain knowledge of coding and processes within all payroll-related software. •Performs other payroll tasks to include data entry of hourly staff, calculating blended rates, overtime, verifying leave pay and deductions. •Researches and edits discrepancies of payroll data to ensure accuracy and adherence to procedures prior to processing. •Prepares direct deposit information for transmission and transmits direct deposit information in a timely manner. •Submits deduction reports to the Director of Accounting and the Benefits Coordinator. •Coordinates with the Benefits Coordinator to ensure benefit and investment deductions are correct and deducted for each applicable employee. •Provides assistance and support to all bookkeepers in the district.

Additional Duties

Performs other related tasks as assigned by the Business Manager or Superintendent.

Equipment

Uses standard office equipment such as personal computers, printers, copy and fax machines, and telephone.

Travel Requirements

Travels to school district buildings and professional meetings as required.

Working Conditions

•Maintain emotional control under stress. •Frequent interruptions. •Some travel within and outside the district boundaries when required. •Workload is deadline driven. •Works in standard office and school building environments. •Frequent contact with staff, community, and/or other district/campus employees. •Daily attendance and punctuality are essential functions of the job.

Job Qualifications

•High School diploma or equivalent.

Experience

•Prior school experience with data management systems analysis preferred.
