This is a full-time, in-office position based on a standard 40-hour work week. The primary goal of this role is to assist the accounting department with payroll and accounting-related workflows, including payroll processing (timesheets, vacation time, 401(k), health insurance), new employee onboarding and recordkeeping, order processing, AR/AP, financial reporting, and special projects as assigned by the team lead.
We’re specifically looking for someone with strong knowledge of multi-state payroll tax compliance — particularly Florida and California — along with a solid understanding of benefits administration, including 401(k) and group health plans.
As a Payroll & Accounting Coordinator for Pangolin, you will work alongside, and report directly to, our company Controller, General Manager, Chief Operating Officer, and Partnership Team.
Responsibilities and Goals
- Process payroll accurately and on time, ensuring correct withholdings and compliance across multiple states, with particular attention to Florida and California payroll tax requirements
- Adjust timecards as requested and maintain accurate employee time and attendance records
- Oversee paid time off (PTO) tracking and accrual
- Administer employee health benefit reimbursements and 401(k) contributions, ensuring compliance with applicable plan rules and regulations
- Generate quarterly and year-end payroll reports, including multi-state tax filings
- Assist with multi-state payroll tax filings and stay current on changing state-specific requirements
- Communicate with employees regarding HR policies, procedures, and benefits
- Complete new hire onboarding, including setup of payroll, benefits enrollment, and required documentation
- Act as the primary point of contact for employee inquiries related to payroll and benefits
- Support accounts receivable and accounts payable functions, including order processing
- Assist with financial reporting and special projects within the accounting department upon request
- Document processes within the accounting department to support consistency and training
Skills
- Strong working knowledge of payroll tax laws and filing requirements across multiple states, with specific experience in Florida and California strongly preferred
- Understanding of regulations governing employee benefits, including 401(k) plans and group health insurance (e.g., ERISA, ACA basics, plan compliance)
- Proficient in payroll processing and recordkeeping; Paylocity experience strongly preferred
- Understanding of QuickBooks Desktop software; Enterprise edition preferred
- Strong written and verbal communication skills
- Understanding of relevant labor laws and regulations across multiple states
- Excellent attention to detail and accuracy in data entry
- Ability to handle sensitive and confidential information with discretion
- Proficient in Microsoft Office, especially Excel
- Strong organizational and time-management skills
