    Job Description Overview:

    The Payroll Administrative Professional will accurately process payroll, maintain benefit records and all related duties to employee reporting

    Qualifications:

    • High School Diploma
    • Experience in Payroll/Accounting
    • Experience with Infinite Visions accounting software
    • Knowledge of Computer Systems
    • Proficient in Microsoft Office Suite with emphasis on Excel
    • Knowledge of standard office equipment
    • Ability to exercise initiative, independent judgment and discretion in performing duties
    • Knows the importance of confidentiality
    • Knowledge of TRS and IMRF rules and regulations preferred

    Duties and Responsibilities:

    Payroll:

    • Processing payroll accurately in an efficient and timely manner, preparation and maintenance of automated and manual records and reports
    • Ability to meet schedules and time lines 
    • Proficient in inputting, balancing and reconciling payroll data
    • Proficient in mathematical computation of salaries, employee deductions, time sheets, etc.
    • Post payroll to employee portal; sort and distribute payroll checks on a bi-weekly basis
    • Organize and prepare data for Medicaid Quarterly reporting
    • Maintenance of permanent employee files
    • Adherence to and familiarity with collective bargaining agreements and procedures
    • Preparation and submission of reports as required by TRS, IMRF, and IRS
    • Confidential handling of payroll and other sensitive information
    • Ability to de detail oriented and accurate in performance of all responsibilities and duties

    Benefit Administration:

    • Maintain employee benefits for accuracy
    • Coordinate Open Enrollment annually for all employees
    • Process and assist employees with the completion of enrollment forms
    • Verify insurance billings for accuracy on a monthly basis
    • Update and maintain all insurance websites
    • Troubleshoot and resolve employee issues and concerns regarding benefits
    • Perform a variety of technical duties in support of employee benefit programs
    • Process and assist employees with the completion of enrollment forms

    Employee Attendance /Aesop:

    • Establish and maintain all attendance records both on Aesop and iVisions
    • Assist and troubleshoot attendance/Aesop related issues
    • Update employee attendance days annually according to collective bargaining agreements
    • Reconcile substitute days for payment
    • Print reports for reconciliation and accuracy

    Secretarial / General Office:

    • Act as backup for Accounts Payable and Superintendent's Secretary
    • Demonstrate proficiency in typing of word processing, spreadsheets, databases and other documents
    • Be able to operate a variety of office equipment including computer and assigned software
    • Maintain accurate filing system
    • Answer phones, take messages, and sort interschool mail and distribute within office daily
    • Communicate effectively and professionally both orally and in writing
